Executive Assistant

Job Title: Executive Assistant (EA) – Finance House, Mayfair, London

Location: EA – Mayfair, London (Office-based, 5 days per week) Salary: £55K–£65K plus exceptional benefits (9-6 working hours)


About the Role

Are you ready to take on your next career-defining opportunity? We are seeking a highly skilled Executive Assistant to join our boutique, highly regarded finance house operating in the heart of Mayfair, London.

This is a chance to work in a fast-paced, dynamic environment, joining a close-knit team of three who are exceptional in their roles—and are now looking to expand with a fourth member.

This exciting and varied position supports a busy COO and two other senior stakeholders, offering full EA duties alongside office management responsibilities. You’ll play a vital role in ensuring seamless operations across senior support, administration, and stakeholder engagement.

Key Responsibilities

  • Full EA support for a COO and two senior team members:
    • High-volume diary management with expertise in multi-timezone scheduling
    • Complex global travel arrangements (flights, hotels, visas, itineraries)
    • Gatekeeping duties to protect senior stakeholders’ time
    • Inbox management (emails, correspondence, first-hand triage)
  • General administration & office operations:
    • Arranging meeting rooms, visitor hosting, and rotational tasks
    • Expense processing and office coordination
    • Strong discretion and professionalism at all levels
  • Proactive collaboration:
    • Willing to assist colleagues on-the-fly with complex or unexpected challenges

Requirements

  • Professional background: Prefer graduate or graduate calibre experience.
  • Experience: Minimum 5 years as an EA, ideally within private equity (PE), venture capital (VC), or comparable high-level environments.
  • Key traits:
    • Highly responsive in fast-moving environments.
    • Natural ambassador with exceptional communication skills.
    • Able to anticipate needs and prosper in ambiguity.
    • Confident, proactive, and trusted leader able to prioritise responsibilities without supervision.
    • Strong organisational acumen and sophisticated solutions-driven mindset.
    • Proficiency with Microsoft Office (Advanced users preferred).
  • Personality fit:
    • Thrives in pressure-focused, high-performing teams.
    • Not afraid to ‘muck in’—ready to support colleagues and take on extra responsibilities efficiently.
