If you're an experienced Executive Assistant or Senior Administrator who thrives in a professional, client-focused environment, this is an outstanding opportunity to join a highly respected financial planning practice where you'll play a pivotal role supporting senior leadership, maintaining exceptional client relationships and helping ensure the smooth day-to-day operation of a busy office.

This is far more than a traditional administrative position. Working closely with senior advisers and the wider team, you'll become a trusted point of contact for clients, manage complex administrative processes, coordinate meetings, oversee client communications and help maintain the exceptionally high standards of service the business is known for.

The successful candidate will enjoy a varied and rewarding role where organisation, attention to detail and professionalism are genuinely valued. You'll also have the opportunity to support and develop new members of the team, making this an excellent position for someone who enjoys mentoring others whilst remaining hands-on in a fast-paced environment.

  • Provide high-level administrative and executive support to senior advisers and the wider team.
  • Coordinate client review meetings, diary management and appointment scheduling.
  • Prepare detailed meeting documentation and client review packs.
  • Manage pre and post-meeting administration, ensuring client records remain accurate and up to date.
  • Prepare professional correspondence, reports and confidential documentation to an exceptional standard.
  • Act as a first point of contact for clients, delivering an outstanding level of customer service both in person and over the telephone.
  • Liaise with third-party providers and internal support teams to progress client transactions efficiently.
  • Support the onboarding and training of new team members.
  • Maintain CRM records and ensure all administration complies with internal procedures.
  • Assist with general office administration and contribute to the smooth running of the business.

Skills & Experience

We're looking for a highly organised and proactive Executive Assistant with excellent communication skills and the confidence to build lasting relationships with clients and colleagues alike.

You'll ideally have:

  • Previous experience as an Executive Assistant, Senior Administrator or similar business support role supporting senior stakeholders.
  • Experience within financial services, professional services or another regulated environment would be advantageous but is by no means essential.
  • Outstanding organisational skills with the ability to prioritise multiple tasks and meet deadlines.
  • Exceptional attention to detail and written communication skills.
  • Strong Microsoft Office skills, including Outlook, Word, Excel and PowerPoint.
  • Experience using CRM systems such as Salesforce would be advantageous.
  • A positive, adaptable and collaborative approach with a genuine commitment to delivering first-class client service.
