Executive Assistant

£350.00 per day PAYE

Location: London

Contract: 6 Month Contract


HSBC is currently searching for an EA to join their team in London to support the Global Head of Securities Services. The role requires sound judgement, discretion and strong organisational discipline to support the Global Head across strategic priorities, client engagement, governance, people leadership and business delivery.

The candidate will act as a trusted partner, managing executive time, information flow, meeting preparation and stakeholder coordination, working closely with the Business Manager to ensure priorities, governance rhythms and follow-up actions are aligned.

Responsibilities:

  • Manage the Global Head’s diary across multiple time zones, ensuring time is aligned to strategic priorities, governance forums, client engagement, people leadership and business-critical deliverables.
  • Act as a trusted gatekeeper, triaging meeting requests, managing competing priorities and ensuring the right meetings, attendees, materials and outcomes are in place.
  • Coordinate senior-level meetings, leadership engagements, ExCo rhythms, client briefings, business reviews, town halls and governance forums, including agendas, logistics, pre-reads, follow-ups and action tracking.
  • Manage domestic and international travel at senior executive level, ensuring plans are efficient, compliant and aligned to business priorities.
  • Maintain effective information flow across the Global Head’s office, prioritising communications, managing sensitive information and escalating urgent or material matters appropriately.
  • Support the Business Manager with executive-ready materials, briefing packs, meeting notes, talking points, correspondence and ad-hoc submissions, ensuring quality, consistency and timely delivery.
  • Coordinate with the Business Manager on office priorities, governance calendar, leadership rhythm, follow-up actions and key business management activity.
  • Build strong relationships with senior internal and external stakeholders, including the Securities Services Leadership Team, regional and product heads, business partners, clients and executive offices.
  • Coordinate purchases, expenses, approvals and administrative processes accurately, efficiently and in line with internal policy.

Experience Required:

  • Proven experience in an Executive Assistant, Personal Assistant or senior business support role, ideally supporting a senior executive or global leadership team.
  • Strong executive diary management experience, including complex calendars, competing priorities and multiple time zones.
  • Experience coordinating international travel, senior meetings, leadership forums, client engagements and executive-level events.
  • Excellent planning, prioritisation and organisational skills, with the ability to anticipate needs and operate effectively at pace.
  • Strong written and verbal communication skills, with the ability to coordinate clear, concise and executive-ready materials and correspondence.
  • High levels of discretion, confidentiality and judgement when handling sensitive business, people, client and organisational information.
  • Confidence engaging with senior stakeholders and external parties, demonstrating professionalism, judgement and strong interpersonal skills.
  • Advanced proficiency in Microsoft Office, Outlook, Teams and collaboration tools, with the ability to support high-quality executive outputs, meeting materials and trackers.
  • Strong attention to detail and follow-through, ensuring commitments, actions and deadlines are tracked and delivered.
  • Flexible, resilient and solutions-focused, with the ability to operate effectively in a fast-paced global environment.
  • Ability to work closely with the Business Manager, ensuring alignment on priorities, governance, stakeholder engagement and follow-through.
  • Collaborative and credible across executive offices, business management, HR, communications, risk, finance and other partner teams.
