Position

As part of LVMH / Moët Hennessy, The Glenmorangie Company crafts, distributes and markets two of Scotland’s most acclaimed single malt whiskies. Glenmorangie is famed as the leading Highland single malt, renowned for its smooth, complex, and accessible taste, its mastery of wood in cask maturation, and its industry-leading whisky innovation. Ardbeg is the ultimate Islay whisky and the smokiest of all Scotland’s Single Malts – and is also famed for its unorthodox, envied, and untamed brand.

The Executive Assistant will provide high-level executive administration support to members of the Executive Team, ensuring senior leaders are equipped to operate effectively, efficiently, and with the highest level of discretion. This role requires sound judgment, discretion, flexibility, and strong organisational capability within a fast-paced senior leadership environment, coupled with the confidence and professionalism to build trusted relationships, communicate effectively with senior stakeholders, and anticipate business needs.

Job Responsibilities

  • Proactively manage and coordinate complex and fast-moving Executive Team diaries.
  • Prioritise scheduling of internal and external meetings, manage senior stakeholder correspondence as required.
  • Coordinate detailed international travel for Executive Team members, anticipating potential challenges and managing visa administration where required.
  • Maintain proactive expenses management, ensuring timely submission and approvals in line with the Company’s travel and expenses policy.
  • Coordinate company-wide, Executive Team and department-specific meetings, including preparation, logistics, action tracking and follow-up.
  • Work closely with the EA to the CEO to ensure aligned executive support, coordinated priorities and effective communication across the Executive Team.
  • Raise purchase orders, receipt goods and set up suppliers in SAP/Ariba systems as required.
  • Lead planning as required for internal company events and meetings led by Executive Team members.
  • Prepare, manage and maintain confidential documents, reports and executive materials.

Profile

Technical Skills Experience Required:

  • At least 3 to 5 years working at an Executive support level, ideally within a small to medium-sized fast-paced organisation supporting multiple Executive team members.
  • Excellent Microsoft Office application skills.
  • Excellent organisation and prioritisation skills.
  • Experience with international travel arrangements and visa applications is highly desirable.
  • Events planning experience desirable.
