Role Overview

The Executive Assistant partners closely with the General Manager and Division Leadership, serving as a strategic enabler.

Core Function: Deliver high-impact administrative and organisational support, raising business-critical priorities off the leadership’s plate. Requires attentive, intuitive problem-solving in a dynamic professional setting.

Visualise success as:

  • Proactively anticipating operational needs in a technical, fast-paced environment
  • Implementing scalable administrative workflows
  • Ensuring undertook discretion and confidentiality
  • Seamlessly coordinating multi-tier cross-functional projects

Key Responsibilities

Calendars & Scheduling

  • Manage complex executive calendars, including:
    • Triaging scheduling conflicts and prioritisations
    • Co-nasting international meeting windows
    • Presenting time-tracking insights to leadership

Documentation & Communication

  • Prepare internal & external documents on time:
    • Agendas, reports, meeting notes and follow-ups
    • Proposals, executive summaries, and presentation decks
  • Draft and proofread correspondence, reports, and presentations
  • Proactively capture and act on cross-all action items, ensuring transparent and timely execution

Event & Logistics Coordination

  • Organise leadership meetings, reviews, customer engagements, and special events:
    • Venue arrangements & technology support
    • Visitor travel/accommodation/movement management
    • Catering oversight and guest integration
  • Handle mission-critical details for cho affiliate initiatives

Business Travel & Administration

  • Fully execute travel programmes:
    • Domestic & international itineraries (flights, hotels, transport)
    • Visa processing and venue pre-visits
  • Process accurate expense reports and reimbursements
  • Oversee administrative systems for personnel and systems files

Procurement & Relationships

  • Purchase requisitions and invoice management
  • Coordinate office supplies and inventory: priorisation, supplier liaison and consumption audits
  • Liaison role: Serving as a polished point of contact between leadership, stakeholders, customers and contractors with professional integrity.

Expected Competencies

Essential Experience

  • Minimum 5 years post-degree experience supporting executives, senior leadership or operations in manufacturing, aerospace, engineering, or global business sectors.
  • Hands-on expertise coordinating complex meetings, cross-functional reviews and customer business.
  • Demonstrated ability to solve for processes, advocate system efficiency and user experience.

Technical Acumen

  • Developed understanding of enterprise systems such as ERP, expense platforms, employee portal or document management.
  • Aligning your support with multinational operations: Cultural fluency, timezone management and off-site advisor roles.

Core Competencies

  • Confidentiality Mastery: Stewardship of sensitive technical, business and personal info.
  • Analytical Focus: Anticipating leadership needs through data and context.
  • Time Management: Juggling priorities while executing flawlessly on deadlines.
  • Multilingual (Preferred): German, French, Mandarin or industry-specific technical languages.
