Executive Assistant
This is a Bournemouth based role and you will be required to work from the office two to three days per week. This can be a part-time and full-time role.

We are currently seeking an experienced Executive Assistant to join our team, someone who can help our Managing Director streamline our processes and enhance our operational efficiency.
Job Description
As Executive Assistant, you will play a critical role in supporting our Managing Director in running the day-to-day operations of our marketing business. You will be responsible for managing different aspects of the business to ensure the smooth running of our company with a key focus on optimal resource allocation, financial oversight, continuous improvement in all areas, project management and coordination, and general admin.
Key Responsibilities
General Administration and Management:
- Oversee general administrative functions to ensure efficient office operations.
- Manage office supplies, equipment, and facility maintenance.
- Develop and implement office policies and procedures to enhance administrative efficiency.
- Coordinate with IT support to maintain smooth operation of all technology and communication systems.

Financial Management:
- Oversee budgeting, forecasting, and financial planning processes.
- Monitor financial performance and implement strategies to achieve financial goals.
- Ensure cost control and manage operational expenses to maximize profitability.
- Prepare financial reports and present them to senior management for review and decision-making.
Recruitment and Talent Management:
- Develop and implement recruitment strategies to attract and retain top talent.
- Manage the recruitment process, including job postings, candidate screening, interviews, and onboarding.
- Work with HR to develop and maintain a talent pipeline to support the agency’s growth and operational needs.
- Foster a culture of continuous learning and professional development.
Contract Management:
- Oversee the preparation, negotiation, and management of contracts with clients, vendors, and partners.
- Ensure all contracts are compliant with legal requirements and agency policies.
- Monitor contract performance and enforce terms and conditions to protect the agency’s interests.
Project Management:
- Oversee the planning, execution, and completion of projects to ensure they are delivered on time and within budget.
- Implement project management best practices and tools to streamline processes and improve productivity.
- Monitor project progress, identify potential issues, and proactively implement solutions.
Qualifications & Experience
- Proven experience as an Executive Assistant or in a similar role, preferably within a marketing agency.
- Excellent administrative skills - accuracy, proof checking, version control, attention to detail is essential.
- Drive and a strong work ethic.
- Excellent time management.
- Application proficient.
- Strong leadership and team management skills.
- Excellent organisational and multitasking abilities.
- Analytical mindset with strong problem-solving skills.
- Proficient in project management tools and software.
- Strong communication and interpersonal skills.
- Ability to work in a fast-paced, dynamic environment.
- Experience in financial management and budgeting.
- Experience in recruitment and talent management.
- Experience in contract management and general administration.

What We Offer
- Competitive salary and benefits package - £30,000 - £35,000 pa, based upon experience.
- Holiday entitlement 20 days per year, plus two duvet days and all bank holidays - 30 days total.
- Performance bonus, up to 10% of the gross salary. KPIs to be agreed.
