Job Description

Join Fugro as an Executive Assistant and play a vital role in supporting senior leadership across our Europe & Africa region. Based in Aberdeen, you'll provide proactive executive administration, diary management, communication coordination and organisational support, helping leaders operate effectively in a fast-paced and dynamic environment. Your Role And Responsibilities

You'll be reporting to the Director Marine Asset Integrity, Europe & Africa and providing executive support across key regional leadership functions. You'll work closely with colleagues throughout Fugro, as well as external stakeholders, ensuring seamless administrative operations and effective communication.

  • Managing complex diaries, scheduling meetings and coordinating travel arrangements for senior leaders.
  • Providing comprehensive executive support to the Director Marine Asset Integrity, Europe & Africa.
  • Supporting the Strategy Growth & Consultancy Director, Aberdeen Hub Manager and Regional Head of HSSE Europe & Africa with ad hoc administrative requirements.
  • Coordinating meetings, preparing agendas and ensuring documentation is available and distributed in advance.
  • Managing communications, correspondence and information flow on behalf of senior leadership.
  • Preparing high-quality reports, presentations, briefing materials and business correspondence.
  • Attending meetings and producing accurate minutes, actions and follow-up documentation.
  • Handling confidential and sensitive information with professionalism, discretion and integrity.
  • Building effective relationships with stakeholders across the Europe & Africa region and external organisations.
  • Proactively identifying potential issues, prioritising competing demands and ensuring administrative activities run smoothly.

What You'll Need To Thrive In This Role

  • Previous experience in an Executive Assistant, Personal Assistant, or similar senior administrative support role.
  • Excellent organisational, administrative and coordination skills, with the ability to manage multiple priorities and meet tight deadlines.
  • Strong written and verbal communication skills, with the confidence to build effective relationships and influence stakeholders at all levels.
  • A proactive, solutions-focused approach, with the ability to anticipate challenges, take ownership and work independently to deliver high-quality results.
  • Strong attention to detail, numerical aptitude and the ability to handle sensitive information with professionalism and confidentiality.
  • A professional, approachable and customer-focused mindset, with excellent interpersonal skills and a collaborative approach.
