Job Summary:
The Executive Assistant provides high-level administrative and strategic support to senior leadership, acting as a trusted partner in managing priorities, communications, and operations. This is a critical role that requires exceptional discretion, professionalism, and the ability to operate effectively in a fast-paced environment.
This role requires strong organizational, communication, and multitasking skills, with a high degree of professionalism, confidentiality, and initiative.
Responsibilities and Duties:
Executive Support
- Manage complex calendars, scheduling meetings and resolving conflicts with sound judgement
- Coordinate domestic and international travel, including itineraries, visas, transfers and accommodation
- Prepare and screen correspondence, acting as a first point of contact on behalf of the executive (and his / her team )
- Attend meetings, capture minutes, and track follow-up actions to completion
- Anticipate the executive's needs and proactively manage competing priorities

Communication & Stakeholder Management
- Liaise professionally with internal teams, clients, and external partners
- Draft, edit, and proof communications, reports, presentations, and briefing materials
- Handle sensitive and confidential information with the highest level of discretion
Project & Operations Coordination
- Support the delivery of strategic projects, tracking milestones and coordinating cross-functional input
- Organise and manage key events including, leadership offsites, and external engagements
- Oversee expense management, timely and accurate issue of PO and invoice approvals, and budget tracking for the executive's office.
- Process expenses in a timely manner
- Processing and managing Purchase Orders (POs)
- Identify opportunities to improve administrative processes and implement effective systems
- Occasional travel may be required
- Employees may be assigned other duties in addition to or in lieu of those described above, and any duties are subject to change at any time according to the needs of the company
Skills:
- Excellent written and verbal communication skills, with a sharp eye for detail
- Ability to tailor tone and style for different audiences
- Confident in producing polished documents, presentations, and briefing notes
- Outstanding planning and organisational skills with the ability to juggle multiple demands simultaneously
- Strong judgement in prioritising tasks and escalating issues appropriately
- Methodical approach to managing information, files, and records
- High emotional intelligence and the ability to build trusted relationships across all levels
- Calm, composed, and solutions-focused under pressure
- Diplomatic, discreet, and professional in all interactions
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Comfortable using collaboration and project management tools (e.g. Teams, SharePoint )
- Ability to quickly learn and adopt new systems and technologies and work closely with other Executive Assistants

Requirements:
Essential
- Proven experience as an Executive Assistant, Personal Assistant, or in a senior administrative support role
- Demonstrated ability to support at Director level
- Experience managing complex international travel logistics
- Strong track record of handling confidential information with integrity
- Excellent literacy and numeracy skills
Desirable
- Experience in a corporate, professional services, or regulated environment
- Exposure to minute-taking, or committee support
- Project coordination experience
- Degree-level education or equivalent professional qualification
