The Role

We're looking for an exceptional Executive Assistant to provide high-quality support to two of our senior leaders: our Co-Founder and our Chief Product Officer.

This is a role for someone who operates several steps ahead - someone who doesn't wait to be told there's a problem, but has already spotted it, thought through the options, and come with a recommendation. You'll be the connective tissue that keeps two busy, high-impact executives running at their best.

If you're highly organised, naturally proactive, and take genuine pride in end-to-end ownership of your work, this could be a perfect fit.

What You'll Be Doing

  • Strategic diary management: You'll own the calendars of both executives - not just filling slots, but managing time strategically. That means anticipating conflicts before they happen, understanding priorities well enough to make smart trade-off decisions, protecting key recurring meetings and leadership cadences, and maintaining flawless meeting logistics (links, attendees, locations, titles). When competing priorities arise, you'll come with a recommended solution, not just the problem.
  • Independent problem solving: When something goes wrong, or looks like it might, you'll be the one who resolves it. Whether it's a logistical snag with travel, an event that needs last-minute rescheduling, or a workspace issue that needs sorting, you'll handle it end-to-end without needing to be chased. You bring solutions to the table, not just escalations.
  • Project and task ownership: You'll take on delegated projects and see them through to completion with minimal oversight. That means proactively tracking progress, sharing timely updates, and making sure nothing falls through the cracks.
  • Stakeholder and correspondence management: You'll manage inbound requests, screen correspondence, and handle communications on behalf of the executives where appropriate — always with discretion and good judgement about what requires their attention and what you can resolve yourself.
  • Travel and event planning: You'll arrange travel, accommodation, and logistics for both executives, thinking through the details others might miss. You'll also plan and coordinate team meetings, offsites, board events, and social occasions - managing everything from invites and agendas to catering, timings, and on-the-day delivery.
  • Administration: Taking minutes at key meetings, managing expenses, preparing briefing materials ahead of important meetings, and other ad hoc projects that call for precision and follow-through.

  • Proven experience as an EA supporting C-suite or senior executive level, ideally in a fast-paced scale-up environment
  • Genuinely proactive - you anticipate what's needed and act on it before being asked
  • Strong strategic thinking around time and priorities; you understand that diary management is about far more than scheduling
  • A track record of owning projects and tasks end-to-end, with minimal oversight
  • Excellent judgement - you know when to act independently and when to escalate, and when you do escalate, you bring proposed solutions
  • Outstanding organisational skills and meticulous attention to detail
  • Exceptional communication skills - warm, professional, and able to adapt your style depending on the audience
  • Highly dependable, discreet, and trustworthy - you'll be working with confidential information and senior stakeholders on a daily basis
  • Positive, solutions-focused attitude with a resilient, can-do approach to the inevitable curveballs of a fast-moving business
  • Experience supporting more than one executive simultaneously is a strong advantage
  • An interest in or familiarity with technology is a plus - you'll be working closely with Engineering and Product teams, so comfort in a tech environment and curiosity about how products are built will help you hit the ground running
