Executive Assistant
Fixed Term Contract (7 months) – £44,000 – £48,000 per annum
About the Team
The Executive Support Team at OSB Group plays a pivotal role in empowering our Executive Committee and senior leaders to operate efficiently, drive strategic decision-making, and meet organisational goals. As a trusted, collaborative, and high-performing team, we deliver proactive support, ensure clear communication, and enable seamless coordination across the business.
The Role
As an Executive Assistant, you will provide a professional, reliable, and proactive administrative and executive support service to the Executive Team.
Location & Travel Requirements:
- Base: Chatham
- Occasional remote work from: Whitfield Street office, London
- Travel to: Additional UK-based OSB offices as needed
Key Responsibilities
Core Duties
- Deliver impeccable administrative and executive support to members of the Executive Team.
- Schedule and coordinate meetings, ensuring:
- All agendas are on time, aligned with diaries
- Meetings are quorate
- Attendees receive targeted papers and information in advance
- Organise refreshments (breakfasts, lunches, beverages) for key meetings, and manage on-site support from the Executive Support Team as required.
- Prepare precise, well-structured meeting papers—distributing clearly and promptly.
- Handle Executive expense management, including:
- Tracking and collating corporate/credit card expenses
- Sign-off and processing of reports—ensuring compliance with company policy.
- Coordinate Executive/Boot away days, handling:
- Venue sourcing
- Cost negotiation
- Logistics planning

Requirements & Skills
Essential Criteria:
- PA/Executive Support experience (with a focus on governing bodies/Executive teams)—mandatory.
- Minimum 2 years in a corporate environment, demonstrating professionalism, confidence, and adaptability.
- Technical proficiency:
- Intermediate: Microsoft Word, Excel, PowerPoint
- Advanced: Microsoft Outlook (diary management, scheduling, inbox organisation).
- Exceptional organisational skills:
- Ability to prioritise multiple tasks under pressure
- Impeccable attention to detail
- Logistical adeptness (meeting coordination, expense processing).
- Professional communication coupled with:
- Discretion and confidentiality
- Strong rapport across all levels—ability to handle sensitive information.
