Role Overview
We’re seeking a highly proactive, detail-oriented Executive Assistant (EA) with experience supporting a fast-moving private equity environment. The ideal candidate is:

Key Responsibilities
Executive Support & Calendar Management
- Proactively manage multidirectional executive calendars across global time zones
- Optimise executives’ time by prioritising tasks, mitigating conflicts, and adjusting schedules dynamically
- Liaise with stakeholders worldwide to coordinate internal/external meetings, securing venues, managing hospitality, and VTC logistics
Travel & Logistics
- Arrange complex international travel (flights, accommodation, multi-leg itineraries, transfers, visas) with attention to detail and operational precision
- Adapt itineraries instantly to evolving business needs, troubleshooting and problem-solving
Administrative & Financial Processes
- Spearhead expense reconciliation (Concur usage advantageous) and invoice processing
- Ensure accuracy in submissions, maintain records, and adhere to deadlines
- Collaborate with Finance to streamline payment workflows
Documentation & Briefings
- Draft meeting agendas, presentations, and briefing materials to support executive decision-making
- Distribute critical information to ensure executives are fully prepared
Stakeholder Coordination
- Act as a courteous guest coordinator for in-house and external visitors
- Liaise with Reception, Facilities, IT, and Finance for seamless operational delivery
- Lead new-hire onboarding, managing access, technology setup, and formalities
- Organise team meetings, offsites, conferences, and social events—projecting professionalism
Cross-Functional Relationships
- Build trust with executive teams and global stakeholders as Brookfield’s administrative anchor
- Assist the wider Executive Assistant team in covering workload peaks or absences flexibly

Technical Skills & Requirements
Minimum Qualifications:
- 3+ years’ experience in a comparable role (private equity, professional services, or corporate milieu)
- Proficiency in Microsoft Outlook, Word, PowerPoint (familiarity with Concur is a plus)
- Sharp organisation and professional communication skills
- Proven ability to work independently and collaborately, prioritising efficiently under tight deadlines

- Proactive decision-making and sound judgement for last-minute adjustments

- High attention to detail—ensuring all deadlines, arranges, and tasks align
