Executive Assistant - Investment - Technology

The Interim Executive Assistant will provide high-level administrative support to the SVP of Global Investment and other assigned leaders. This role includes arranging travel, managing expenses, scheduling meetings, and handling various administrative tasks to ensure organizational effectiveness and efficiency.

Key Responsibilities

  • Arrange travel and complete expenses for the SVP of Global Investment and other assigned leaders.
  • Coordinate global travel arrangements and calendaring.
  • Schedule meetings and appointments.
  • Assist the team with the creation of Investment Memos, Strategy Papers, and presentations.
  • Provide support for the creation of market strategy documents and market analysis.
  • Attend internal and external meetings to support the team as required.
  • Act as an administrative interface between Strategy and/or Hyperscale & other functional departments such as product marketing and business management, and regional functional interfaces as required.
  • Work with the central marketing function to assist with marketing activities (such as key event planning) for the Global business.
  • Coordinate with Ops/IT department on all office equipment.
  • Liaise with Finance to ensure that all items are invoiced and paid on time.
  • Provide general support to visitors and in meetings as required (including offsite).
  • Liaise with facility management vendors, including cleaning, catering, and security services.
  • Plan in-house or off-site activities, like parties, celebrations, and conferences.
  • Performs other duties as assigned

KNOWLEDGE & ATTRIBUTES

  • Proven experience as an Office Manager or Executive Assistant.
  • Knowledge of office administrator responsibilities, systems, and procedures.
  • Proficiency in MS Office (MS Excel, MS Word, MS PowerPoint, and MS Outlook, in particular).
  • Hands-on experience with office machines (e.g., telco equipment, fax machines, and printers).
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills in English.
  • Strong organizational and planning skills in a fast-paced environment.
  • A creative mind with an ability to suggest improvements.

ACADEMIC QUALIFICATIONS & CERTIFICATIONS

  • High School degree; additional qualification as an Executive Assistant or Secretary will be a plus.
  • Relevant certification(s) preferred.

REQUIRED EXPERIENCE

  • Minimum 5 years of relevant experience
  • Advanced experience in a similar position in a related environment.
  • Advanced experience with MS Office
