The Executive Assistant is a full-time, on-site role based in Miami, Florida (company HQ). This position supports company leadership by:

Key Responsibilities

  • Calendars & Scheduling:

    • Manage executive calendars, including meetings, travel arrangements, and appointments.
    • Prioritise tasks and coordinate priorities with leadership.
  • Communications:

    • Handle incoming calls, emails, and correspondence.
    • Draft, edit, and distribute internal/external communications and reports.

  • Administrative Support:

    • Prepare and maintain expense reports, ensuring accuracy.
    • Organise documents, files, and data entry for administrative tasks.

    • Source materials for executives, ensuring they have timely access to key documents.
  • Budget & Financial Tracking:

    • Facilitate operational efficiency within the office environment.
    • Provide general office support, including facility management.
  • Confidentiality:

    • Handle sensitive company/ executive information with discretion.

▶️ Requirements

Minimum Qualifications

  • Executive Administrative Assistance Skills:
    • Calendar management, meeting coordination, and task prioritisation.
    • Proficiency with email, calendars (e.g., Outlook), spreadsheets (e.g., Excel), and word processing.

  • Communication & Organisation:

    • Fluent written and verbal skills for interactions with leadership, teams, and clients.
    • Strong attention to detail, organization, and closeness.
  • Experience:

    • Previous role in executive assisting or comparable administrative functions.
    • Bonus if previous construction industry experience exists.
  • Qualifications:

    • Education or training in business administration, office management, or a related field is beneficial.

Preferred Skills

  • Comfortable with confidentiality standards and maintaining discretion.
  • Willingness to learn new software/tools for business processes.
  • Knowledge of industry standards in construction or financing (a plus).
