Role Overview

Side is seeking an experienced, highly organised, and proactive Executive Assistant to provide support to the Chief Financial Officer (CFO), Chief Operating Officer (COO), and Chief Commercial Officer (CCO).

This is a critical role, requiring:

  • Exceptional organisational skills
  • Discretion and professional judgement
  • The ability to anticipate the needs of senior executives in a fast-paced international business

The ideal candidate will act as a trusted partner in managing:

  • Complex calendars
  • International travel
  • Executive meetings
  • Leadership team operations

The role demands expertise in handling multiple priorities, global relationships, and confidential information with independence and discretion.

Key Responsibilities

Executive Support

  • Provide proactive diary management for the CFO, COO, and CCO while balancing global time zones
  • Coordinate internal and external stakeholder meetings
  • Prepare schedules and briefing materials
  • Anticipate executive requirements and resolve scheduling conflicts early
  • Serve as the primary administrative contact for executive needs

Travel & Logistics

  • Arrange complex international travel (flights, booking, visas, transportation)
  • Develop detailed travel itineraries for C-suite executives
  • Manage travel changes and last-minute adjustments efficiently
  • Process travel expenses while ensuring policy compliance

Project Coordination

  • Support cross-functional initiatives led by the CFO, COO, and CCO
  • Coordinate efforts across Finance, Operations, Commercial, Legal, HR and other departments
  • Monitor key deadlines and ensure on-time delivery

Administration

  • Create high-standard correspondence, reports, and presentations
  • Streamline document approval and signature processes
  • Maintain accurate records and ensure critical documents remain organised and accessible

Stakeholder Management

  • Build strong, effective working relationships across the global organisation
  • Liaise confidently with senior leadership, clients, and external partners
  • Handle highly confidential information with absolute discretion

Office & Event Support

  • Facilitate executive visits to international sites
  • Organise contract offsites, team gatherings, and client engagements
  • Assist with Board, committee, and investor events as needed

Candidate Profile

Qualifications & Experience

  • Proven Executive Assistant or Senior Personal Assistant experience
  • Support experience for multiple C-level executives
  • Strong background in global calendar/calendar management and international travel coordination
  • Proficiency in Microsoft Office (Outlook, PowerPoint, Excel, Word)
  • Experience with Microsoft Teams and modern collaboration tools
  • Bonus if you have experience in technology, professional services, or global organisation environments
