Employment Type: Freelance / Part-Time (3 days per week, with scope to increase)
Location: UK, Remote (with quarterly visits to the Cotswolds)
Start Date: From September 2026
Compensation: £200 per day (£600 per week)
About Lie Down & Listen
Lie Down and Listen is a blissful sound healing and lying-down classical concert experience, shared in awe-inspiring spaces across the U.K., Ireland, and the U.S. Founded by classical pianist and composer Christina McMaster, we are in an exciting period of global expansion.
We are seeking a highly organised, proactive Executive Assistant & Event Co-ordinator to act as a right-hand support to our Founder and manage our growing event operations. If you love the intersection of music, wellbeing, meticulous organisation, and cultural impact, we want to hear from you.
Your Role
This is a hybrid role combining high-level administrative support for the Founder with the operational co-ordination of events and teams across multiple locations.
We are looking for a true partner with an exceptional work ethic, someone who is tech-forward, detail-orientated, and ready to refine effective systems that give the Founder more time to focus on creative vision and expansion. You will be the calm centre of the storm, ensuring both the back-office and live events run seamlessly.
Key Responsibilities
Executive Assistant & Founder Support
- Inbox & Correspondence Management: Serve as the gatekeeper for the Founder’s inbox, managing enquiries, prioritising communications, and drafting professional responses.
- Diary & Schedule Management: Co-ordinate the Founder's calendar, aligning business meetings, travel, and personal commitments.
- Administrative Liaison: Act as the primary point of contact between the Founder, artists, high-profile guests, and external partners.
- Document & Workflow Organisation: Maintain digital files, document meeting action items, and keep the Founder organised and on track.

Event Co-ordination & Operations
- Contract Management: Draft and manage contracts for performers, artists, venues, and local event teams.
- Venue Logistics: Co-ordinate end-to-end venue bookings, payments, and site requirements.
- Master Scheduling: Generate detailed event schedules and production sheets for internal teams, venues, and artists.
- Notion Systems Management: Document and maintain overall event and work-tracking systems in Notion, ensuring workflows are organised and easily accessible.
- Team & Volunteer Co-ordination: Recruit, onboard, and manage local staff, volunteers, and photographers across different regions.
- On-Site Support: Attend key events to assist the Founder, manage logistics, and build strong relationships with venues and artists.
Your Experience & Attributes
Background & Technical Skills
- 3+ years of experience in a high-level Executive Assistant (EA), Project Management, or Music/Arts Event co-ordination role.
- Advanced proficiency in Notion (or similar project management platforms like Asana/Trello) to organise workflows and data.
- Excellent written communication and flawless professional etiquette—you write beautifully and represent the brand perfectly.
- Tech-savvy with basic Canva (for quick promo tweaks) and Microsoft Office / Google Workspace proficiency.
- High ownership mentality: A self-motivated, "can-do" attitude with the ability to operate independently.

- Flawless Execution: Events, bookings, contracts, and logistics (artists, photographers, venues) are delivered smoothly and strictly on timeline.
- Relationship Capital: Trusted, professional bonds are formed with key partners, venues, and local regional teams.
