About the Role

We are seeking a highly organised and proactive Executive Assistant to support the senior leadership team within our Arts & Entertainment business. This is a fast-paced, high-impact role providing executive and administrative support to the Executive Vice President (EVP), Senior Vice Presidents (SVPs) and Vice Presidents (VPs), helping them operate efficiently across a diverse portfolio of live events and experiences.

Working closely with senior stakeholders across the business, you'll coordinate complex diaries, manage travel and expenses, support departmental administration, and ensure the smooth day-to-day running of the team. This role is ideal for someone who thrives in a dynamic environment, enjoys juggling multiple priorities, and takes pride in delivering exceptional organisational support. This is a full-time role based in London.

What Success Looks Like

  • Senior leaders are supported through efficient diary, meeting, travel and administrative management, enabling them to focus on strategic priorities.
  • Meetings are coordinated seamlessly with internal and external stakeholders, ensuring appropriate scheduling, preparation and follow-up.
  • Business travel, expenses and administrative tasks are completed accurately and in a timely manner.
  • Departmental records, documents, distribution lists and team information are maintained accurately and proactively.
  • The Executive Assistant is recognised as a trusted, reliable and proactive member of the Arts & Entertainment team, providing support across the department whenever required.

What You'll Own

  • Provide executive administration support, including diary management, travel bookings, visa applications, expense processing and general executive assistance.
  • Coordinate meetings for the Executive Vice President (EVP), Senior Vice Presidents (SVPs) and Vice Presidents (VPs), including scheduling, room bookings, agendas, minute taking and meeting logistics.
  • Respond to and coordinate meeting requests and communications on behalf of the Executive team.
  • Manage complex diaries, ensuring efficient scheduling and sufficient travel time between appointments.
  • Arrange domestic and international travel, preparing detailed itineraries and recommending efficient travel options.
  • Process and reconcile business expenses accurately and within required deadlines.
  • Assist with departmental administration, maintaining records, staff lists, email distribution groups and key documentation.
  • Support interns within the department, acting as a key point of contact.
  • Print, process and file departmental documentation as required.
  • Assist with travel arrangements for clients and the wider team.
  • Support the Office Assistant with welcoming and collecting external guests.
  • Provide additional administrative support across the department as business needs require.
  • Carry out any other duties appropriate to the level and scope of the role.

Travel & Event Requirements

  • Regular weekend work may be required to support events across the Arts & Entertainment portfolio, including festivals, exhibitions and seasonal live events.
  • Travel within the UK and occasionally internationally may be required to support meetings and events.

What You Bring

  • Previous experience in an administrative, executive assistant, personal assistant or office support role is preferred.
  • Experience supporting senior stakeholders and managing complex diaries is desirable.
  • Knowledge or interest in the arts, entertainment or live events industry is advantageous.
  • Experience using travel booking and expense management systems is beneficial.
  • Previous experience booking international travel and coordinating meetings across multiple time zones is desirable.
  • Strong working knowledge of Microsoft Office, including Outlook, Word, Excel and PowerPoint.
  • Excellent organisational skills with the ability to prioritise multiple competing tasks.
  • Strong attention to detail and ability to produce accurate work under pressure.
  • Excellent communication and interpersonal skills, with the ability to build lasting relationships with internal and external stakeholders.
  • Ability to work independently while remaining a collaborative and supportive team player.
  • Calm, adaptable and resilient with excellent time management skills.
  • A proactive approach with a willingness to support the wider team whenever required.
