Role Overview

Side is seeking an experienced, highly organised, and proactive Executive Assistant to provide support to the Chief Financial Officer (CFO), Chief Operating Officer (COO), and Chief Commercial Officer (CCO).

This is a critical role requiring:

  • Exceptional organisational skills
  • Discretion and judgement
  • The ability to anticipate executive needs in a fast-paced, international business environment

The successful candidate will act as a trusted partner, managing complex calendars, coordinating international travel, supporting executive meetings, and ensuring the leadership team operates efficiently.

The role requires someone who can:

  • Manage multiple priorities effectively
  • Build strong relationships across the organisation
  • Work independently while maintaining high levels of professionalism and confidentiality

Key Responsibilities

Executive Support

  • Provide proactive diary management for the CFO, COO, and CCO, balancing competing priorities across multiple time zones
  • Coordinate meetings with internal and external stakeholders
  • Prepare schedules and briefing materials
  • Anticipate executive requirements and resolve scheduling conflicts before they arise
  • Act as the first point of contact for executive administration

Travel & Logistics

  • Arrange complex international travel, including:
    • Flights
    • Accommodation
    • Visas
    • Ground transportation
  • Prepare detailed travel itineraries
  • Manage travel changes and last-minute amendments efficiently
  • Process travel expenses and ensure compliance with company policies

Project Coordination

  • Support cross-functional projects led by the CFO, COO, and CCO
  • Coordinate activities across:
    • Finance
    • Operations
    • Commercial
    • Legal
    • HR and other business functions
  • Monitor key deadlines and ensure deliverables are completed on time

Administration

  • Prepare correspondence, reports, and presentations to a high professional standard
  • Coordinate document approvals and signatures
  • Maintain accurate records and ensure key documents are organised and accessible

Stakeholder Management

  • Build effective working relationships across the global organisation
  • Liaise confidently with senior leaders, customers, and external partners
  • Handle highly confidential information with absolute discretion

Office & Event Support

  • Assist with executive visits to international offices
  • Coordinate:
    • Leadership offsites
    • Team events
    • Customer meetings
  • Support planning for:
    • Board meetings
    • Investor events, where required

Candidate Profile

Qualifications & Experience

  • Previous experience supporting multiple C-suite executives in a fast-paced, international organisation
  • Significant Executive Assistant or Senior Personal Assistant experience
  • Experience managing:
    • Complex global calendars
    • International travel logistics
  • Strong proficiency in Microsoft Office, including:
    • Outlook
    • PowerPoint
    • Excel
    • Word
  • Experience using Microsoft Teams and modern collaboration tools
  • Experience within technology, professional services, or a global organisation is advantageous
