Executive Assistant
Executive Assistant – Private Equity (FP&A Leadership Team)

About the Role
Brookfield’s Private Equity business focuses on driving operational transformation in businesses that provide essential products and services. With $150 billion of assets under management, the team acquires and enhances high-quality businesses globally.
This role is for a highly proactive Executive Assistant with exceptional organisational skills, adapted to a fast-moving, growing professional services environment. You will support a senior executive team by managing complex diaries, facilitating critical meetings, coordinating travel, and ensuring seamless operations across multiple time zones.
Key Responsibilities
Diary & Meeting Management
- Proactively manage complex, multi-regional diaries, balancing competing priorities while optimising executive time.
- Coordinate high-volume internal and external meetings, liaising with global stakeholders to:
- Schedule dates, secure meeting spaces
- Arrange hospitality where required
- Handle all logistics efficiently
- Develop keywords and titles for advanced search functionality to improve calendar visibility.
Travel Coordination
- Manage extensive international travel for executives, including:
- Complex multi-leg itineraries
- Flights, accommodation, ground transportation
- Visa arrangements
- Rapid adaptation to changing business needs
- Process expense reports in line with company policy, ensuring timely reconciliation.
- Maintain invoice aesthetics and process documentation accurately for payment facilitation.

Administrative & Operational Support
- Prepare meeting agendas, presentations, and supporting materials to ensure executives are fully briefed.
- Welcome and coordinate visitors from Brookfield’s global offices and external stakeholders.
- Manage the onboarding of new team members, including:
- Technology setups
- Access and inductions
- Administrative requirements
- Liaise with internal departments (Reception, Facilities, IT, Finance) for operational coordination.
- Help plan team meetings, off-sites, conferences, and social events.
Stakeholder Engagement & Confidentiality
- Build effective relationships across the Private Equity business and global offices.
- Serve as a trusted point of contact for administrative matters.
- Maintain the strictest confidentiality when handling sensitive information.
Team & Office Support
- Provide flexible administrative support to the wider Executive Assistant team.
- Ensure seamless coverage during absences or peak workloads.
Technical Skills & Experience
Minimum Requirements
- 3+ years of experience in a similar role within a professional services or private equity environment.
- Proficiency in Microsoft Outlook, Word, and PowerPoint.
- Prior experience with Concur is beneficial but not mandatory.
