Business Administrator – Executive Support in EMEA Technical Services

Contract Role via Allegis Global Solutions (AGS), Employed by AGS (Not Microsoft)


About the Role

This Contract role positions you as a Business Administrator within Microsoft’s EMEA (Europe, Middle East, and Africa) Technical Services Organisation, supporting a VP based in Rome alongside other senior leaders.

As a senior administrator in an independent, self-sufficient team, you will:

  • Manage proactive and complex calendar coordination across multiple time zones.
  • Organise international travel, manage expenses, and support procurement.
  • Operate with minimal guidance while maintaining high confidentiality and international/logistical expertise.

The ideal candidate is highly organised, thrives in remote/global environments, and excels at relationship-building across UK and Europe.


Key Responsibilities

  • Calendar & Scheduling Management

    • Handle high-volume, complex calendar prioritisation for senior leadership.
    • Coordinate meetings across EMEA and global time zones.
  • Travel Coordination

    • Arrange international travel (flights, hotels, transport, visas).
    • Request accommodation, transport, and visas for leaders.

  • Handling Administrative Policies

    • Submit and track expense reimbursements.
    • Issue and monitor purchase orders and procurement activities.
  • Supporting Leadership Operations

    • Prep meeting materials, presentations, and event logistics.
    • Be the proactive point of contact for administrative support.

Must-Have Skills (Non-Negotiable)

Minimum 5 years’ experience in one of these roles:

  • Executive Assistant / Senior/Business Administrator

Core Experience Supporting:

  • Senior leaders at Director/VP levels.
  • Complex scheduling (cross-global, complex calendars).
  • Travel coordination (including multilingual stakeholders).
  • Expense/report management with attention to detail.
  • Procurement/POs.

Technical Proficiencies:

  • Advanced Microsoft Office skills (Outlook is critical), Excel, and PowerPoint.

Profiles & Work Style:

  • Thrives in remote/global working conditions without supervision.
  • Fluent in stakeholder communication across diverse cultures.
  • Self-starting, highly organised, and capable of balanced priority setting.

  • Experience in large tech/enterprise environments (especially EMEA).
  • Knowledge of corporate procurement systems or expense tools.
  • Skilled at coordinating multiple leader calendars.

Ideal Experience & Background

  • Preferences: 4–6 years of relevant experience, not junior.
  • Best suited for candidates with:
    • Previous roles supporting Directors/VP levels.
    • Tracks of managing leaders in fast-paced, global teams.

Additional Details

  • Location: Fully remote (UK residence/tax compliance required).
  • Duration: 11 months 25 days contract.
  • Hours: Monday–Friday (British working hours), 40hrs/week.
  • Compensation: £105–£120 per day (PAYE adjusted UK standard).
