Executive Assistant to the CEO

Hours | 0.4 - 1 FTE

Location | Future Space, Bristol, UK

Pay | £28,000-35,000 p.a. FTE (pro rata), depending on experience

Start | Immediate, through August

Microsol is an early-stage pharmaceutical startup that sits at the forefront of innovation in respiratory drug delivery, providing a step-change in the development and characterisation of orally inhaled and nasal drug products. Microsol is seeking to expand its team to support its senior executives. The company operates across disciplinary boundaries, innovating in formulation technology for respiratory drug delivery.

Microsol leverages a powerful combination of advanced aerosol characterisation techniques and computational pharmaceutics modelling. Using these tools Microsol is able to optimise formulation properties with unrivalled precision and control, ensuring optimal drug delivery and efficacy.

What you’ll be doing

As Executive Assistant, you will provide administrative, operational and strategic support to our Founder/CEO in a small, fast-paced startup tackling hands-on engineering and scientific challenges. We expect you to be organised and methodical. For the right person, there is real room to grow into an Operations Manager.

Core responsibilities (from day one):

  • Scheduling and prioritising meetings, appointments, and events whilst anticipating clashes and ensuring the CEO is prepared.
  • Acting as the first point of contact for the CEO, screening calls, emails, and correspondence, drafting responses, and managing the inbox.
  • Organising the CEO’s domestic and international travel, preparing detailed trip itineraries, and managing last-minute changes.
  • Coordinating logistics for board meetings and client events, preparing agendas and briefing packs, and taking meeting minutes.
  • Drafting, editing, formatting, and proofreading reports, proposals, and PowerPoint presentations.
  • Using productivity platforms (e.g., Microsoft Office, Google Workspace, ClickUp, HubSpot) to implement and maintain effective filing systems, databases, and CRMs.
  • Building trusted relationships with colleagues, clients, and external partners, representing the CEO with professionalism, and managing sensitive matters appropriately.
  • Protecting the CEO’s time and work-life balance, handling personal admin, errands, and life logistics that free him up to focus.

Growing into the role:

  • Supporting finance admin: invoices, budgets, and expense reports, monitoring costs and efficiencies.
  • Supporting the CEO with hiring and onboarding, and helping HR administration run smoothly.
  • Running the day-to-day of the Bristol office: supplies, building management, and a welcoming workspace.
  • Onboarding new starters: software accounts, IT hardware, and building access.
  • Conducting research and preparing light analysis to feed into planning.
  • Generating social media content where useful.

Skills and experience we are looking for

Essential skills and experience:

  • Minimum 2 years of EA experience supporting senior or board-level executives, or demonstrable equivalent.
  • Ability to juggle complex diaries, shifting priorities, and competing deadlines.
  • Strong technical proficiency with office software, AI tools and diary management systems.
  • Exceptional verbal and written communication with colleagues, board members, and clients.
  • High level of interpersonal skills to liaise across departments and with external partners.
  • Confident, professional demeanour with the ability to represent executives at the highest level.
  • Ability to handle sensitive and confidential information with absolute discretion.
  • Confident in managing multiple projects simultaneously while remaining calm under pressure.
  • Strong problem anticipation and solving skills.
  • Flexibility to travel if required and support the CEO outside regular office hours when needed.

Desirable skills and experience:

  • An interest in, or educational background (A-Level or degree) in Life Sciences, Pharmacy, or STEM
  • A degree in business administration, project management, or a related field.
  • Courses in Microsoft Office, project management, or time management.
  • An Executive Assistant Diploma or similar qualification.
  • Experience assisting with recruitment, onboarding, or HR administration.
  • Previous experience working in an early-stage start-up or fast-growing SME.
  • Financial administration experience (familiarity with software like Xero is advantageous).

Location & Commitments

  • From 0.4 FTE (2 days a week) growing to full time
  • Hybrid working, but at least 80% in-person in Bristol with the CEO
  • Start date, immediate – through August. Interviews July 30th.
