9-month Fixed-term Contract

Location: York, Bristol, Glasgow, Norwich or Perth (50% hybrid working) Salary: £35,000 – £45,000 (depending on experience)


We are looking for an experienced Executive Assistant to support the Group External Reporting Director and the Director of Finance and Investment Operations, including providing broader support to their high-performing teams.

The Group External Reporting team is responsible for producing high-quality and timely external, regulatory, and statutory reporting for Aviva Group’s financial and non-financial reporting, supporting the Group Board Committees, and managing the Aviva Group Centre controllership. The Finance and Investment Operations team operates as a shared services function, supporting growth across Aviva’s businesses, ensuring the delivery of high-quality finance and investment operational performance, and driving the linked transformation agenda.

The role is part of our One Finance EA community, and the successful candidate will be expected to support other EAs, including providing holiday cover as needed.


About the Role

In this exciting Executive Assistant role, you will support the Group External Reporting Director and the Director of Finance and Investment Operations, including broader team support. Working in a close-knit team, your responsibilities will include:

  • Managing schedules and coordinating meetings (including attendance where required)
  • Supporting team communications and wellbeing
  • Acting as a key contact for the Directors
  • Ensuring high levels of professionalism, confidentiality, and efficiency

This role ensures the Directors receive the right personal support in prioritising their departments and fulfilling obligations to Executive teams, Boards, and Committees.

Ideal Traits

Key Responsibilities

  • Provide high-level support to Group External Reporting Director and Director of Finance and Investment Operations
  • Manage complex workloads with multiple stakeholders (e.g., Boards, senior leadership, teams)
  • Collaborate with the wider Executive Assistant community (including holiday cover duties)
  • Spearhead agenda planning, meeting minutes, action tracking, and event organisation
  • Build strong relationships and maintain ts confidentiality in sensitive matters

Requirements & Skills

  • Proven experience as an Executive Assistant to senior leaders, with strong stakeholder management
  • Ability to handle confidential and sensitive information discreetly
  • Exceptional organisation and time management, balancing multiple priorities
  • Confident in supporting senior leadership teams, boards, and committees
  • Flexibility to carry out additional business activities as required

Preferred qualifications or experience include:

  • Experience in financial services or regulated industries (advantageous)
  • Exposure to Annual Reports, ESAs (European Supervisory Authorities), or similar compliance obligations (helpful)

Recompense & Benefits

  • Salary: £35,000 – £45,000 (location + experience dependant)
  • Performance Bonus: Up to 8% of annual salary your individual bonus amount will reflect performance and our overall results.
  • Pension: Aviva will contribute up to 14% depending on your contribution rate
