We are seeking a highly strategic and proactive Executive Assistant to serve as the indispensable right-hand partner to a senior leader driving a critical strategic initiative within our organization. This pivotal role is your opportunity to directly influence high-impact strategic endeavors, facilitate executive-level engagements with key external partners, and significantly contribute to value creation across a dynamic team. You will be instrumental in ensuring our leader can focus on strategic priorities, making a tangible impact on the success of groundbreaking projects.

What You’ll Do

  • Arrange complex corporate travel and meetings, including developing detailed itineraries and agendas, booking transportation and accommodation, and securing any necessary visas for global engagements with strategic external partners.
  • Manage the senior leader’s appointment schedule by planning and coordinating meetings, conferences, and travel, while proactively safeguarding strategic focus time.
  • Organize high-stakes leadership meetings, offsites, governance sessions, and external partner engagements, preparing agendas, briefing materials, taking notes, and driving follow-up on action items.
  • Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation from others, monitoring progress, and actively problem-solving.
  • Produce professional information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics for executive presentations and reports related to strategic initiatives.
  • Welcome guests and customers by greeting them in person or by telephone, answering or directing inquiries with professionalism, often involving senior stakeholders from the external partner ecosystem.
  • Maintain customer and organizational confidence by keeping highly sensitive information confidential, including deal-related, portfolio, and strategic matters.
  • Improve quality results by studying, evaluating, and re-designing processes, implementing changes to enhance efficiency within the team.
  • Maintain professional and technical knowledge by attending educational workshops, reviewing publications, establishing personal networks, and participating in professional societies.
  • Contribute to team effort by accomplishing related results as needed and supporting broader coordination across account directors, analysts, operations, marketing, and other functions.

Required Skills & Experience

  • Solid experience in a similar Executive Assistant role, preferably supporting senior leaders in an international technology, sales, consulting, or strategic finance environment.
  • Exceptional writing, reporting, presentation, and verbal communication skills.
  • Early adopter of AI for efficiency, with confidence in leveraging advanced capabilities beyond basic prompts.
  • Strong organization, time management, and multitasking abilities with keen attention to detail.
  • Advanced Microsoft Office skills (Outlook, PowerPoint, Excel, Word) and proficiency with collaboration tools.
  • Proven experience managing complex travel logistics, scheduling, and stakeholder coordination at a global level.
  • Ability to handle highly confidential information with the highest level of discretion and integrity.
  • A positive, energetic attitude with a passion for supporting strategic growth initiatives in fast-moving environments.

  • Prior experience in a high-stakes finance environment, such as private capital, venture investment, or similar, is a bonus.
