Executive Assistant for a Facilities Services in the US (Home Based Full Time)

Administrative Support & Customer Service Assistant

Key Responsibilities

  • Manage incoming emails and respond to customer enquiries
  • Answer and coordinate customer phone calls
  • Book customer appointments, including surveys, installations, and service visits
  • Prepare quotations and invoices using company templates
  • Assist with accounts administration, including follow-ups on outstanding payments and quotations
  • Maintain and update the CRM (HubSpot)
  • Coordinate schedules for engineers and manage diaries efficiently
  • Liaise with customers, suppliers, and manufacturers to ensure seamless communication
  • Organise and manage business records, documents, spreadsheets, and general administrative workflows
  • Provide direct support to the Managing Director on a day-to-day basis
