Executive Assistant – Strategic Support for Senior Leadership

The Role

We are seeking an exceptional Executive Assistant to provide strategic and operational support to Director-level leadership in a fast-paced, complex energy transition environment.

This is a high-trust partnership role—where confidence and discretion are critical—focusing on: ✅ Leadership amplification: Enabling Directors to focus on strategic priorities, programme delivery, and organisational performance. ✅ Operational excellence: Managing priorities, automation, and seamless workflows to sustain high standards. ✅ Proactive problem-solving: Anticipating needs and operational risks to inform decision-making.


Key Responsibilities

Strategic Executive Support

  • Provide Director-level support with complex priorities, evolving stakes, and cross-functional dependencies.
  • Act as a trusted Graham Bell📞 (or DA/AD) for senior stakeholders, anticipating needs before they escalate.

Diary & Meetings Management

  • Act as gatekeeper for Director time, ensuring strategic focus through rigorous prioritisation.
  • Coordinate leadership meetings, governance activity, and senior stakeholder interactions, tracking actions and follow-ups with precision.

Information & Communication

  • Prepare high-impact briefings, reports, and presentations for cross-portfolio reviews.
  • Draft complex correspondence (emails, presentations) while maintaining strict confidentiality.
  • Combine dashboards, trends analysis, and SnBA interpretation into clear insights for strategic discussions.

Operational Efficiency & Process Improvement

  • Automate administrative workflows to free up executive time.
  • Identify and implement efficiency gains in systems, tools, and collaboration processes.
  • Maintain scrum-like weekly syncs with Directors to align initiatives.

External Partnerships & Travel

  • Liaise with external partners, vendors, and subcontractors on behalf of Directors.
  • Coordinate complex travel logistics—including last-minute adjustments.
  • Occasionally travel to UK facilities and offshore projects on short notice.

Who You Are

Experience & Competencies

  • Proven track record assisting Director/Executive leadership (at least 3+ years).
  • Commercial acumen: translating technical details into actionable business insights.
  • Driven perfectionist: meticulous attention to detail with neurotic project-scoping.
  • Stakeholder alchemy: balance between pressure-cooker delegates and EMEA-based senior teams.
  • Discretion & moral compass: operating in an environment requires absolute confidentiality.

Technical Skills

  • Proficiency in Microsoft 365 (Outlook, Teams, PowerPoint, SharePoint, OneDrive).
  • Advanced experience with risk, governance, or reporting dashboards (Power BI, Excel, Visio).
  • Familiarity with industrial procurement ecosystems (Optional but valued).
