Executive Assistant (HR focus)
Hybrid Executive Support & HR Administrator Reporting to: Head of Finance Location: Office-based (Newton Aycliffe) Contract: Part-time (flexible within office hours – to suit candidate)
The role supports the Managing Director and senior leadership team while also taking ownership of core HR administration and record-keeping. This hybrid position bridges executive support with HR coordination, requiring:
- Excellent attention to detail
- Discretion in handling sensitive matters -Ability to manage multiple priorities effectively
Key Responsibilities
Executive Assistant Activities
- Support the Managing Director with administrative tasks.
- Manage diaries, scheduling meetings, and coordinating appointments.
- Organise internal and external meetings, including:
- Preparation of agendas
- Minutes
- Handle inbox management and correspondence on behalf of executives.
- Arrange travel, accommodation, and itineraries.
- Prepare reports, presentations, and documentation.
- Act as a key point of contact between leadership and:
- Internal stakeholders
- External stakeholders
- Coordinate internal events.

HR Administration Activities
- Liaise with:
- External HR Consultant
- Payroll team
- Assist with:
- Onboarding administration:
- Contracts
- Right-to-work checks
- Inductions
- Onboarding administration:
- Maintain accurate employee records per GDPR requirements.
- Support:
- Absence tracking
- Holiday administration
- HR reporting
- Assist with (as required):
- Disciplinary processes
- Performance management
- Exit administration
- Coordinate with line managers.
Reporting & Compliance
- Prepare and maintain operational and HR-related reports.
- Ensure:
- Data accuracy and confidentiality at all times
- Support compliance with:
- Internal controls
- Company policies
- Audit requirements
Skills & Experience
Essential:
- Previous experience in a similar role.
- Strong attention to detail and high level of accuracy.
- Strong IT skills:
- Confident Microsoft Excel user
- Proficient with internal systems
- Ability to handle sensitive and confidential information.
- Strong organisational and time-management skills.
- Comfortable working in a fast-paced, high-volume environment.
