Job Opportunity: Executive Assistant to CEO & Senior Leadership Team

We are looking for a highly organised, discreet and proactive Executive Assistant to provide comprehensive support to our CEO and members of the senior leadership team.

Working within a fast-paced media environment, you’ll play a vital role in ensuring smooth day-to-day operations for executive schedules, business operations, and key company initiatives.

This is an excellent opportunity for someone who thrives on organisation, enjoys working at pace, and is confident in managing multiple priorities while maintaining absolute professionalism and confidentiality.

Key Responsibilities

Executive Support

  • Provide comprehensive diary management, coordinating meetings, appointments, and competing priorities across multiple senior team schedules.
  • Manage complex calendars, ensuring efficiency and proactively resolving conflicts.
  • Organise domestic and international travel, including flights, accommodation, transport, visas, and detailed itineraries.
  • Prepare meeting agendas, presentations, briefing documents, and minutes as required.
  • Screen, prioritise, and filter emails, correspondence, and phone calls on behalf of executives.
  • Anticipate executive needs and provide proactive administrative support, enabling focus on strategic priorities.

Office & Business Administration

  • Act as the key internal and external point of contact for clients, broadcasters, suppliers, and partners.
  • Coordinate meetings, hospitality, and company events.
  • Support the wider management team with admin and operational tasks.
  • Manage deadlines, actions, and follow-ups across departments.
  • Process expenses and company credit card reconciliations.
  • Build and maintain strong relationships with industry contacts and stakeholders.
  • Represent the company professionally as the lead contact for senior leadership while handling sensitive information discreetly.

Reporting Structure

  • Work closely with the CEO and senior leadership team.
  • Partner with department heads and wider business teams for collaboration.

Who You Are

  • An experienced and confident Executive Assistant, Personal Assistant, or Senior Administrator with senior stakeholder support experience.
  • Proven ability to manage complex and fast-moving diaries.
  • Exceptional organisational and time management skills.
  • Strong written and verbal communication proficiency.
  • Keen attention to detail and ability to multitask seamlessly.
  • Experience coordinating international travel and logistics.
  • Self-sufficient while fostering strong relationships across the business.
  • Google Workspace proficiency required; CRM system knowledge is a plus (not essential).
  • A welcome plus: experience in television, media, production, or creative industries.

Flexibility

Ideally seeking candidates who can start immediately, but notice periods will be considered.
