Join our team as a highly strategic and senior Executive Assistant to support our Chief Operating Officer (COO) and Chief People Officer (CPO) while overseeing day-to-day coordination of our London office.


The Role

This fast-paced, high-impact opportunity is ideal for a sharp, senior-level professional who excels in executive support, office management, and operational coordination.

You'll act as a trusted partner, executive coordinator, and problem-solver, ensuring priorities are managed effectively while supporting two critical organizational functions. If anticipating needs, resolving issues, and driving efficiency excite you, this role is for you.

Responsibilities

Executive Support & Partnership

  • Collaborate with the COO, CPO, and Global Commercial Finance team
  • Prevent issues by anticipating needs and proactively removing obstacles
  • Impacting priorities efficiently:
    • Develop briefing materials, presentations, talking points, and pre-reads
    • Take accurate meeting minutes and ensure effective follow-through
    • Handle detailed research, analyses, and business planning tasks
    • Support ĂĽntetending correspondence and cross-departmental communication
  • Provide strategic and operational counsel critical for leadership decisions

Calendar & Priority Management

  • Multitask across time zones while maintaining calendars for senior executives
  • Triage inboxes to ensure critical demands are prioritised effectively
  • Draft and escalate communications with complete discretion

Travel & Event Coordination

  • End-to-end travel management (domestic and international) for executives
  • Organise logistics for major meetings, offsites, and leadership events

Meeting Support

  • Create agendas, track action items, and drive follow-ups
  • Oversee global leadership sessions and cross-functional reviews

Operational Leadership

  • Liaise with Finance, HR, and other teams to accelerate key initiatives
    • Streamline supply chain, HR projects, and operational workflows
  • Monitor KPIs and business goals across dynamic markets
  • Identify improvement opportunities through process optimisation

Ideal Candidate

Roles & Experience

10+ years of senior executive support or equivalent (Executive / Chief of Staff, Business Administrator roles). Policy around experience to support:

  • C-level or SVP-executives (either commercial/medical field preferable)
  • Fast-paced high-stakes environments (finance, aesthetics, or related sectors)

Core Skills

  • Executive judgment for handling high-impact matters
  • Faultlines communications-prioritisation when managing dual-executive responsibilities
  • Global stakeholder management across multi-territory context
  • Confidentiality: handling sensitive operational and personnel matters
  • Discretion & professional verticals

Must-Haves

âś” Executive toolset (email scheduling, productivity suites, travel management systems) âś” High emotional intelligence (calm under pressure) âś” Business fluency to engage in strategic discussions âś” Scalable mindset for process improvement and efficiency drive
