Executive Assistant (Legal)
Closing Date: 26th June 2026 Fueled by bold ambition The Executive Assistant will provide confidential and professional executive support to the Chief Legal Officer who sits on the Senior Executive Management Team and the wider Legal Team. They must be a strong communicator and be able to build good relationships with the team and stakeholders and to become a core member of the Legal Team. The role will involve providing support internationally, across different time zones, based from the UK. To perform this role successfully, the individual is expected to handle highly sensitive and confidential legal information while always exercising professionalism and discretion. Act as first point of contact for the CLO and the wider Legal Team, managing visitors, enquiries, and general communications Manage diary/calendar for the CLO, including coordination of meetings and logistics Prepare for meetings by drafting agendas, minutes, briefing materials, presentations, and following up on actions Coordinate Legal Team operations, including WFH schedules, holidays, UK and overseas travel arrangements, department cover, and team movements Draft, review, and issue communications and standard legal documents (e.g., NDAs) and coordinate execution and electronic filing Maintain Legal Team records, including ongoing matters documentation, intranet content, and filing systems Manage purchasing and financial administration, including purchase requisitions, purchase orders, invoices, and expenses Liaise with external law firms, suppliers, and internal stakeholders on Legal Team and procurement-related enquiries Support governance and compliance processes, including Delegation of Authority signoffs, H&S, compliance, and sustainability practices Organize Legal Team resources and engagement activities, including IT equipment, team materials, and team-building or social events

Requirements
What do we need from you? Prior experience as an Executive Assistant or sole departmental Office Manager, with essential front-of-house exposure Experience in confidential, fast-paced environments; law firm and contractual documentation experience desirable Strong commercial and business acumen with first-class work ethic and standards Highly organized, detail-oriented, and able to prioritize tasks, emails, and competing demands effectively Proactive, solutions-focused approach with the ability to anticipate issues and act pragmatically Clear and confident communicator capable of building trusted relationships at all levels, internationally Collaborative team player with a strong desire to learn and contribute meaningfully to Legal Team efficiency Proficient in modern digital and technology tools
