Experienced Executive Assistants

A leading London law firm is looking for two experienced, proactive Executive Assistants to provide senior support to a small group of partners in its busy Commercial Real Estate team. Hybrid working, typically three days a week in the office (Marylebone), with core hours of 9.30am–5.30pm and some flexibility expected.

This is a genuine right-hand role, not a diary-only one. You'll act as an ambassador for your partners internally and externally, take full ownership of their schedules, and play a real part in helping them deliver to the highest standard for high-quality clients on high-quality matters.

What the role involves:

  • Taking full ownership of complex diaries — proactively managing appointments, anticipating conflicts, and making sure partners are prepared and where they need to be
  • Managing inboxes as agreed with each partner: drafting and responding on their behalf, triaging client-critical emails, and flagging the urgent ones
  • Coordinating the billing process — proactively organising WIP and financial management meetings, working with the billing team to hit deadlines, and chasing unpaid bills
  • Handling complex compliance and billing matters, including transactional work such as land registry applications
  • Arranging end-to-end travel (logistics, accommodation, visas, currency) around each partner's preferences
  • Supporting Marketing & BD with the organisation of events, seminars and conferences
  • Attending meetings, taking minutes, and following up on actions
  • Building genuine, trusted relationships with your partners — running regular catch-ups to understand their clients, priorities and ways of working

  • Ideally 3+ years' experience as an EA, with a transactional or property background
  • Commercial Real Estate experience is ideal, but we're also open to candidates from a residential property or conveyancing background
  • Someone who can adapt to different partners' working styles and stay calm and efficient under pressure
  • Strong written and verbal communication, excellent organisation, and the confidence to manage competing priorities
  • Proactive, can-do approach — comfortable making suggestions and improving how things are done
  • Proficient in MS Office (Word, Excel, PowerPoint); experience of Elite 3E is a bonus
