Executive Assistant (m/f/d) Job Description

We are looking for our next Executive Assistant as we accelerate our growth journey.
What You'll Do
Your mission is to provide high-level administrative and organizational support to the Senior Vice President of Brooks Global Customer Operations. In this role, you will support the SVP and his direct reports while managing highly confidential and business-critical information with a high degree of professionalism and discretion.
Primary responsibilities include:
- Managing schedule, including the planning and notification of meetings and appointments.
- Uses independent judgment in setting priorities and proposing alternatives to meetings.
- Actively support disciplined execution of the Brooks Management System.
- Screens incoming calls, expediting priority matters and independently handling calls as appropriate.
- Reviews incoming correspondence; initiates first response and routes as appropriate.
- Handles inquiries from external constituents.
- Coordinates and prepares reports and presentations.
- Maintains and organizes file systems.
- Arranges travel and processes expense reports.
- Processes invoices and check requests for payments.
- Coordinate and organize special events and projects.
- Be a professional representative for the Management team and especially for the SVP to employees and external partners.
- Take on adhoc projects as needed.

What You'll Bring
- Bachelor’s degree or equivalent, with 5+ years of executive administrative support experience.
- Highly proficient in Microsoft Office Suite with strong Outlook, Teams and PowerPoint skills.
- Professional demeanor with excellent verbal and written communications skills in German and English.
- Ability to effectively manage multiple, simultaneous, and complex tasks and projects.
- Skilled in organizing resources and establishing priorities.
- Sense of urgency and a take charge attitude.
