The position would suit a highly organised and efficient person looking for an opportunity to make an impact in a successful and rapidly expanding firm. At least one year’s experience in a similar role is essential, preferably within a finance company. This fully office-based role involves providing support to the Directors, alongside day-to-day office management.
Responsibilities
Executive Assistant Duties
- Travel arrangements: Booking all flights, hotels, transfers, and visas for the directors (worldwide)
- Scheduling diaries: Organising all business meetings, lunches, and professional appointments
- Presentations: Printing and binding client presentations and portfolios
- HR assistance: Managing candidate interviews, onboarding of new employees, and visa requirements for the HR director
- Finance support:
- Providing the firm’s accountant with monthly supplier invoices
- Overseeing all directors’ expenses
- Reconciling transactions using Xero Accounting Software
- Sending quarterly invoices for reimbursements

Office Management Duties
- Supplier & vendor management: Liaising with suppliers/contractors (printers, IT, phones) and ordering supplies (coffee, stationery, consumables)
- Staff engagement: Organising staff events and Christmas functions
- Support duties:
- Ordering Christmas cards, business cards, and client gifts
- Handling all filing, arranging boardroom bookings, answering/directing calls
- Providing client services (meeting & greeting, serving teas/coffees)
- Running errands (e.g., Post Office) and general miscellaneous tasks

Requirements
- Proven expertise in a similar role within a finance company (minimum one year’s experience)
- Demonstrable discretion, outstanding interpersonal skills, and high attention to detail
- Pro-active attitude with a strong team player mindset
- Degree-educated (preferable) or equivalent experience
- Fluency in French (spoken & written)—an advantage, not essential
Technical Proficiency
- Comfortable with Microsoft Outlook, Excel, PowerPoint, and Word
Offer
- Location: St James’s, London (No remote/hybrid options)
- Start Date: As Soon As Possible (ASAP)
- Compensation: £30,000+ (scale dependent on experience) + discretionary year-end bonus + corporate pension scheme
