We are seeking a highly organized, proactive, and detail-oriented Assistant to provide critical support to our leadership team, ensuring smooth operations, strategic focus, and optimized workflows.
Job Overview

Leadership & Calendar Support
- Proactive calendar management, including scheduling meetings and prioritizing daily workflows
- Anticipating needs and facilitating smooth transitions for executive teams

Travel & Expenses
- Full-cycle travel logistics: Coordination (bookings, itineraries) and expense management (Concur)
- Handling BTAT entries, visa processes, and cost oversights to ensure budget adherence
Organizational Coordination
- Ownership of regular team calls, including preparation, logistics, and meeting agendas
- New hire onboarding support, collaborating with Talent Acquisition and managers
Operational Efficiencies
- Approval processing (tools & systems), organisational changes, and Outlook distribution list management
- Setting up recurring call series and maintaining hardware replacement workflows
Relationships & Trust
- Primary point of contact for employees/management, balancing supportiveness & persistence
- Managing sensitive & confidential information with discretion and professionalism

- Exceptional organization & detail orientation, excelling in both macro and micro planning
- Flexible yet persistent: Adaptable to shifting priorities, with strong ownership and autonomy

Essential Experience & Skills:
- Proven background in office/secretarial administration or similar trusted support roles (copyrights given)
- Proficiency in: Expense tools (Concur), HR systems (e.g., Workday), MS Outlook, and coordination platforms
- Strong communication, interpersonal, and problem-solving ability
- Ability to work assertively, yet collaboratively

Benefits & Compensation
- Salary Range: £35,600 – £53,500 (p.a.), with potential incentive compensation tier
