To provide an effective, responsive and confidential administrative, organisational and support service to the Principal and Senior Leadership Team.

Responsibilities And Accountabilities – Detailed

  • Provide an effective and efficient office support function for the Principal and Senior Leadership Team, taking independent and proactive action.
  • Provide full secretarial support to the principal, including word processing, desk top publishing, document creation via AI and the maintaining of electronic and manual filing systems.
  • Provide support to the Principal’s workflows in connection with all of their administrative duties.
  • Support the Principal and Senior Leadership Team through effective prioritising, including the recognition and immediate processing of any urgent matters.
  • Handle sensitive and confidential material and matters in a discreet and professional manner.
  • Provide direct support in the handling of email and written correspondence, compiling replies on behalf of the Principal and Senior Leadership Team as appropriate.
  • Take responsibility for the management of the Principal’s diary; liaising with relevant parties to organise meetings, appointments and schedules effectively, ensuring the Principal is given all relevant documentation at least one week in advance.
  • Support SLT meetings by providing administration for agendas and note-taking.
  • Be responsible for the co-ordination of the diaries of the Senior Leadership Team.
  • Effectively organise meetings and visits with external stakeholders and partners.
  • Assist with the organisation and co-ordination of college wide events and briefing meetings.
  • Be responsible for the room bookings of the top floor of the LRC building.
  • Prepare presentation slides and hand-outs for talks and conferences as required by the Principal and Senior Leadership Team.
  • Identify key documents and reports, analyse relevant information, and disseminate to the Principal, Senior Leadership and College Management Teams.
  • Liaise with college staff, Governors and external agencies to obtain information, data and reports, as appropriate.
  • Arrange for the booking of the Principal and Senior Leadership Team onto relevant conferences, seminars and training events, notifying the Training Co-ordinator as appropriate.
  • Make travel and accommodation arrangements for the Principal and Senior Leadership Team.
  • Be a college credit card holder in order to facilitate the efficient purchase of services and items for the Principal and SLT that are inline with their strategic and operational needs.
  • Be responsible for developing and maintaining skills and knowledge to competently perform own role through research and training as identified during the appraisal process and on-going feedback.
  • Contribute to the development of and comply with College policies and procedures.
  • Carry out any other reasonable duties requested by line manager.
