Executive Assistant (Perm & FTC)

Executive Assistant – Permanent & Fixed Term Contracts (London)

Do you have extensive experience as an Executive Assistant working within Legal, Professional Services, Financial Services, or Banking? Are you organised, proactive, and eager to support senior stakeholders in a global law firm?

We’re seeking Exceptional Executive Assistants—both for permanent roles and fixed-term contracts—to join our dynamic team in London. Your collaboration and dynamism will be vital in providing high-level administrative support while building strong relationships across our organisation.


The Role

As an Executive Assistant, you will provide strategic and executive support, ensuring seamless operations, effective communication, and smooth stakeholder interactions. This role requires:

  • Partnership mindset: Acting as a trusted advisor to Partners and senior management.
  • Professional excellence: Maintaining the highest standards in organisation, confidentiality, and discretion.
  • Forward-thinking approach: Leveraging emerging AI capabilities to streamline processes and contribute to team innovation.

Core Duties:

  • Proactive Support for Partners & Stakeholders
    • Manage inboxes, travel arrangements, diaries, and priority coordination.
    • Act as the first point of contact, filtering, and escalating efficiently.
  • Administrative & Meeting Management
    • Draft polished correspondence and oversee event logistics.
    • Ensure document and matter management are meticulous and compliant.
  • Financial Oversight
    • Facilitate billing cycles, WIP updates, and collaborate with the Billing team.
  • Continuous Improvement
    • Stay updated on AI and technology trends relevant to the Executive Assistant role.
    • Share insights to drive efficiency and knowledge-sharing.

What We’re Looking For

Experience

  • 5+ years of Executive Assistant experience within Legal, Professional Services, Financial, or Banking sectors.
  • Proven track record of supporting senior stakeholders (Partners, Managing Directors, or equivalent).

Essential Skills & Attributes

  • Technical Proficiency:
    • Advanced Microsoft Office (Outlook, Word, Excel)—with fluency in Excel formulas and data management.
  • Organisational Strength:
    • Exceptional time management and ability to prioritise under pressure.
    • High numeracy with acute attention to detail (crucial for billing/compliance).
  • Soft Skills:
    • Confident, agile, and adaptable in fast-paced environments.
    • Strong communicator—both verbal and written—with a proactive approach to problem-solving.
    • Demonstrated ability to anticipate needs and propose innovative solutions.

Education & Requirements

  • 5 GCSEs (or equivalent) including Maths and English (grades A–C/4–9).
