St John Ambulance works at the heart of communities, supporting and enabling them to access and receive physical and mental health first aid. We do this through developing and providing effective community response and outreach services (e.g. Ambulance response) and using our longstanding expertise to empower people with vital clinical skills and the confidence to use them (e.g. our Volunteers and Community Advocates, and Young Responders programmes).

Job Summary

As an Executive Assistant at St John Ambulance, you'll play a pivotal role in supporting the leaders of the nation's leading healthcare volunteering charity. Working at the heart of our Executive team, you'll provide exceptional, high-level support that enables our senior leaders to focus on delivering our mission and responding to the demands of a fast-paced, complex organisation.

This is a role for someone who thrives in a dynamic environment and enjoys building strong relationships with senior stakeholders, both inside and outside the organisation. You'll bring confidence, resilience and sound judgement, with the ability to manage competing priorities while maintaining the highest standards of professionalism and discretion. Working closely with fellow Executive Assistants and senior colleagues, you'll help ensure our Executive team operates seamlessly, inspiring trust and confidence through your collaborative approach, attention to detail and commitment to excellence.

About You

  • You're an experienced Executive Assistant with a proven track record of supporting senior leaders in a busy, complex organisation.
  • You thrive in a fast-paced environment, confidently managing competing priorities while remaining calm under pressure.
  • You're highly organised, with exceptional diary management, planning and coordination skills and a keen eye for detail.
  • You build positive, credible relationships with people at all levels and communicate with confidence, professionalism and diplomacy.
  • You use initiative to solve problems, anticipate needs and make informed decisions with minimal supervision.
  • You're confident using Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams and SharePoint, to produce high-quality work.
  • You demonstrate the highest levels of discretion, integrity and professionalism when handling sensitive and confidential information.
  • You share St John Ambulance's HEART values—Humanity, Excellence, Accountability, Responsiveness and Teamwork—and are committed to delivering outstanding support to colleagues and stakeholders.

About the Role

  • Provide proactive, high-level support to a member of our Executive Leadership Team, helping them operate effectively in a fast-paced and complex environment.
  • Manage busy and ever-changing diaries, inboxes and priorities, ensuring your Executive is fully briefed and prepared for meetings and key activities.
  • Draft high-quality correspondence, reports, presentations and briefing papers, exercising sound judgement and attention to detail.
  • Build strong relationships with senior stakeholders, acting as a trusted point of contact and an ambassador for the Executive office.
  • Coordinate meetings, travel, budgets and governance activities, ensuring everything runs smoothly and deadlines are met.
  • Work collaboratively with fellow Executive Assistants to provide seamless support across the Executive team and contribute to wider organisational initiatives.
  • Support projects, events and, where required, national emergency response activity, demonstrating flexibility and a solutions-focused approach.
  • Handle highly confidential information with professionalism, discretion and integrity at all times.
