EA Role with Project Management Duties

Are you looking for an EA role with Project Management duties? This is it. You will not only have the title of EA/Project Manager, you will own projects from start to finish.

Our client is a top, boutique Executive Search firm. They are looking for someone with 2-4 years experience as an administrative assistant, preferably with Real Estate or Executive Search experience. It’s a full-on job, you will be busy every day with a lot of interesting things to do. You will help with all aspects of the search process ranging from complex travel and diary management, to events and CRM data management.

Primary Responsibilities

  • Liaising with colleagues, clients and candidates via phone and email to coordinate interviews and meetings
  • Scheduling and organising video conferences, phone calls, and in-person meetings as needed
  • Extensive scheduling and complex calendar management across multiple time zones
  • Ability to Manage Calendar/Schedule and Travel Arrangements
  • Database Entry and Maintenance
  • Input, update and maintain records in company resource management database
  • Assist current Executive Assistant with event planning, marketing initiatives and ad hoc projects
  • Back up Executive Assistant when on leave
  • Heavy Typing and Production-related Work
  • Prepare documents using company-specific formats (e.g. resumes, letters, and other client deliverables)
  • Prepare, proofread, and send correspondence (e.g. emails, memos, and facsimiles) on behalf of President
  • Preparation of biographies, long list reports, and candidate profiles
  • Preparation of PowerPoint pitch materials

Qualifications

  • 2-4 years of Executive Assistant experience.
  • Strong organisational skills. Exceptional ability to produce and maintain organized document files
  • Strong mastery of MS Office (including Word, Excel, Outlook, PowerPoint). Microsoft Word skills should be at an advanced level when it comes to formatting and creating documents. Heavy use of Word, Outlook, and PowerPoint
  • Internet savvy
  • Exceptional proofreading and editing skills
  • Excellent communication skills, both written and verbal with both internal people and clients/candidates. Articulate and service oriented with clients
  • Must be able to multi-task effectively in an environment that can be very fast paced and stressful
  • Possess high energy, an unfailing sense of urgency, and a strong sense of integrity
  • Keen ability to “see around the corners” and to think ahead – to know what is needed before it is requested both from clients and search professionals
  • Personally, dedicated to maintaining the highest standards of quality in all aspects of the position

Benefits

The company offers excellent benefits, including working from home 2 days/week. The salary will depend on previous experience and salary history but range from £38k-£45k/annum.
