Executive Assistant & Team Operations Associate – ESG / Impact
Role Summary This role provides dedicated Executive Assistant support to a senior leader and team within Carlyle’s ESG / Impact platform, while also supporting project management, and investor-related workstreams. The primary responsibility is to deliver exceptional, detail-oriented EA support, ensuring seamless day-to-day operations. In addition, the role offers the opportunity to take on expanded responsibilities across project coordination, investor deliverables, and team operations for a candidate looking to grow beyond a traditional EA position. Success in this role requires someone who can consistently execute the fundamentals to a high standard, while proactively taking on additional responsibility to improve team efficiency and delivery. This role is ideal for a high-performing Executive Assistant who takes pride in delivering exceptional core support, and is also motivated to expand into project management, investor processes, and team operations within a leading global investment firm.
Key Responsibilities
- Executive Assistant Support (Primary Focus) Complex calendar management, prioritisation, and scheduling across multiple stakeholders and time zones. End-to-end travel coordination (international and domestic), including logistics and itinerary management. Expense management, invoice processing, and tracking via Concur and internal systems. Proactive inbox and meeting preparation support, ensuring efficient use of executive time. Acting as a key point of coordination across internal and external stakeholders. Anticipating needs, resolving scheduling conflicts, and ensuring smooth day-to-day operations.
- Team Coordination & Project Management Support planning and execution of key ESG team initiatives. Maintain and improve team tracking tools. Ensure accountability and momentum across projects. Assist with preparation of investor materials. Support tracking of ESG KPIs and reporting metrics. Improve reporting processes.
- Events & Team Operations Coordinate internal and external events. Manage logistics and execution. Support broader team operations, including recruitment
- Process Improvement & Tools Use Notion, Excel, and AI tools to improve efficiency. Identify and implement process improvements.

Requirements Experience 7+ years as an Executive Assistant supporting senior stakeholders. Proven ability to deliver high-quality EA support. Project coordination experience is a plus. Skills & Attributes Exceptional organisational skills and attention to detail. Strong ownership and reliability. Ability to manage competing priorities. Proactive and positive mindset. Strong communication skills and ambition to grow into broader responsibilities Tools Advanced Microsoft Office skills. Experience with Concur or similar systems. Familiarity with AI tools and Notion or willingness to learn.
