About the Role
This role goes beyond traditional executive assistance. You will work closely with the CEO to help coordinate ERP implementation projects, manage priorities, track tasks, and ensure smooth communication across clients and internal teams.
The ideal candidate will be detail-oriented, technically capable, and comfortable managing multiple moving parts in a fast-paced consulting environment.
Key Responsibilities
Executive Support
- Manage calendars, meetings, schedules, and travel arrangements
- Monitor and manage email correspondence, ensuring timely responses and follow-ups
- Prepare meeting agendas, take minutes, and track action items
- Assist with reporting, presentations, and executive documentation
- Support day-to-day administrative activities for the CEO
Project Coordination & Implementation Support
- Coordinate project activities and implementation-related tasks across multiple client engagements
- Track project timelines, deliverables, and outstanding actions
- Maintain project documentation and ensure information is kept up to date
- Support resource scheduling and project planning activities
- Liaise with consultants, clients, and internal stakeholders to ensure smooth project execution
- Assist with client onboarding and implementation administration

Systems, Processes & Task Management
- Manage and maintain project information within My PM Studio and other project management systems
- Monitor task completion and escalate potential risks or delays where appropriate
- Assist in developing and improving project processes and workflows
- Produce reports and analysis to support project delivery and operational decision-making
- Ensure accurate record keeping across project and operational systems
Requirements
Experience
- 3+ years' experience in an Executive Assistant, Project Coordinator, Project Administrator, Business Analyst, or similar role
- Experience supporting senior management or project delivery teams
- Experience coordinating multiple tasks, deadlines, and stakeholders simultaneously
- Experience using project management systems and task management tools
- Experience with My PM Studio is highly desirable
Skills & Competencies
- Excellent organisational and time-management skills
- Strong attention to detail and ability to prioritise effectively
- Strong written and verbal communication skills
- High level of professionalism and discretion
- Strong technical aptitude and confidence learning new systems
- Proficient in Microsoft Office, particularly Excel
- Comfortable working with project management, ERP, and business software platforms
- Analytical mindset with strong problem-solving capabilities
