Executive Assistant to CEO

CTE Advanced Technologies Ltd is a specialist engineering and manufacturing business supporting high-performance automotive, motorsport, and advanced engineering programmes.

For over 20 years, CTE has built a reputation for delivering precision fabricated and thermal management systems into environments where quality, responsiveness, and technical capability are critical.

As the business continues its next phase of growth, we are seeking a highly organised and proactive Executive Assistant to support the CEO.

The Role

This role exists to increase the effectiveness of the CEO by reducing administrative and organisational load, improving prioritisation, and creating structure around strategic activity. This is not a traditional administration role. The successful candidate will become a trusted support to the CEO, helping manage priorities, coordinate activity, create organisational structure, and maintain momentum across key business initiatives.

The primary focus of the role is to free the CEO to focus on strategic leadership, business growth, and supporting commercial activity. Over time, the role may naturally evolve into broader business coordination responsibilities as the company continues to grow.

  • Proactive diary and calendar management
  • Inbox and communication management
  • Prioritisation of meetings, tasks, and commitments
  • Preparation of meeting agendas and supporting documentation
  • Coordinating travel, customer visits, and external meetings
  • Drafting professional correspondence and internal communications
  • Managing reminders, deadlines, and follow-up actions

Strategic & Organisational Support

  • Helping maintain focus on strategic priorities
  • Tracking actions and accountability from meetings
  • Supporting organisation of leadership activities and initiatives
  • Collating reports, KPI data, and management information
  • Preparing presentations, reports, and briefing packs
  • Supporting coordination of ongoing business improvement projects

Administrative Support

  • Document formatting and management
  • The use of Microsoft's software suite, CRM, AI, HR system, In-house MRP system
  • Maintaining organised digital filing systems
  • General confidential administration support
  • Supporting office organisation where required

HR & Recruitment Administration

  • Managing the recruitment process
  • Coordinating interviews and onboarding activity
  • Maintaining employee and training records
  • Supporting HR administration and documentation
  • Assisting with holiday and absence tracking

Skills & Experience

Essential

  • Previous Executive Assistant or PA experience to C-Suite
  • Exceptional organisational and time management skills
  • Strong written and verbal communication
  • High attention to detail
  • Ability to handle confidential information professionally
  • Strong Microsoft Office / Microsoft 365 capability
  • Self-motivated and highly proactive
  • Calm under pressure and comfortable working in a fast-paced environment
  • Experience preparing reports and presentations
  • Strong coordination and project administration capability

  • Improve prioritisation and time management around leadership activity
  • Create better structure, organisation, and follow-through to completion
  • Help free up CEO capacity for strategic leadership and commercial growth
  • Become a trusted and highly valued support within the business
