Role: Executive Assistant
Location: Primarily London, with one day a week in Windsor Offices Position Type: Full-time
About the Role
The Chief of Staff at HPower Group seeks an Executive Assistant. This new role has been created to support the Chief of Staff as they take on increased responsibility across the company, including associated events.
Responsibilities

Diary and Meeting Management:
- Plan meetings, send invitations, and manage travel arrangements
- Prepare agendas, confirm venues, and draft minutes for key meetings

HR Support:
- Assist in managing HR responsibilities, including scheduling 6-monthly performance appraisal dates for all staff
- Ensure appraisals are agreed, signed, and filed
- Support creation of job descriptions (JDs) and key performance indicators (KPIs)
- Develop new hire inductions and onboarding documentation
- Support new contract negotiations, including formulating company resource strategies and updating policies

Project & Documentation:
- Undertake assigned projects, such as developing the HPower website, company profiles, and presentations
- Regularly review and update company policies for compliance and relevance

Operational Support:
- Maintain and update the management dashboard for Board Members
- Process and manage expenses for the Chief of Staff
- Support the development of presentations for internal and Board discussions

Conference & Event Support:
- Act as a key assistant to the Chief of Staff in their role as Event Director:
- Develop documentation/presentations for the Royal Windsor Horse Show and Longines Hong Kong International Horse Show
- Attend and assist with planning for crucial events such as the Royal Windsor Horse Show and additional relevant London horse shows
- Act as a key assistant to the Chief of Staff in their role as Event Director:

The successful candidate should:
