Status: 18-month fixed term contract

Reports to: ISSB Vice-Chair

Job purpose: To provide high quality and proactive administrative support to one of the ISSB Vice-Chairs.

The team: The IFRS Foundation’s Frankfurt office is the base of the ISSB Chair and one of the Vice-Chairs (the other Vice-Chair is based in Montreal, Canada). The ISSB office supports the Foundation’s global footprint and promotes the work of the ISSB in conjunction with the other offices of the Foundation.

Principal accountabilities:

  • Manage ISSB Vice-Chair’s diary proactively across multiple time zones.
  • Manage emails.
  • Schedule a range of internal and external meetings and events, often with multiple global participants, requiring regular liaison with internal and external counterparts to coordinate availability.
  • Record external engagements and speaking requests in Salesforce.com.
  • Manage domestic and international travel arrangements, including itinerary planning, booking transport and accommodation, and securing visas and other travel documentation.
  • Manage and pre-approve expense claims.
  • Work closely with Technical Staff in the Vice-Chair's office to assist with the coordination and preparation of the Vice-Chair's external engagements and events.
  • Work closely with other departments (such as Communications, Legal and Technical) to coordinate and document speaking engagements.
  • Provide general administrative support and undertake other ad-hoc tasks and projects as required.

Required skills and experience

  • Previous experience of supporting a senior-level executive in an international environment and managing complex travel and meeting arrangements across time zones (essential).
  • Excellent organizational and administrative skills.
  • High level of integrity and professionalism; ability to be discrete and manage confidential or sensitive information.
  • Ability to work collegially and effectively with staff and stakeholders at all levels, both in-person and remotely.
  • Strong oral and written English language skills.
  • Resourceful and proactive approach, ability to work flexibly and manage multiple and diverse responsibilities, whilst maintaining composure and a high level of attention to detail.
  • Proficiency in MS Office (Outlook, Word, Excel, SharePoint, Teams and PowerPoint).
