About the Role

As Gearset continues to grow, we're looking for an Executive Assistant to join our Operations team. You'll support our CEO, work closely with the wider EA team, and help senior leaders stay focused on the work that has the biggest impact on our customers, our teams, and the business.

This is a broad role that combines executive support with operational coordination. You'll help manage travel, coordinate meetings and events, support company-wide activities, and maintain the processes that keep day-to-day operations running smoothly.

We're looking for someone who's organised, adaptable, and enjoys working across a variety of tasks and priorities. You'll be part of a collaborative team that shares context, supports one another, and pitches in wherever help is needed. If you're calm under pressure, love bringing order to complexity, and take pride in helping others do their best work, this role is for you.

What's the Opportunity?

Provide direct executive support to our CEO, managing their calendar, ensuring they're prepared for every meeting, and protecting the time they need to focus on the highest-priority work.

Play an important coordination role working with the EA team, supporting travel arrangements, company events, and other operational activities that help the executive function run smoothly and create capacity where it's needed most.

Own the coordination of our weekly Executive meetings, publishing agendas, gathering pre-reads, and supporting action tracking with the wider team.

Help deliver key company events, from our annual conference and summer party to regular company meetings, contributing to both planning and on-the-day logistics.

What You'll Achieve

  • Help the CEO stay focused on the highest-priority work through thoughtful diary management, strong meeting preparation, and effective prioritisation.
  • Provide flexible support across the EA team, stepping into operational and project-based work when needed so the team can continue providing great support across the business.
  • Help deliver well-organised company events, from large-scale conferences to regular company meetings, ensuring everything runs smoothly behind the scenes.
  • Bring structure and consistency to operational processes, from SIIT request tracking to maintaining the corporate calendar, leaving them better than you found them.
  • Be known as someone who gets things done, communicates clearly, and manages competing priorities without dropping the ball.

About You

  • Experience supporting senior stakeholders as an Executive Assistant or in a similar support role, with the confidence to work autonomously.
  • Excellent organisational skills, attention to detail, and the judgement to balance multiple priorities effectively.
  • Strong written and verbal communication skills, with the ability to build relationships across a wide range of stakeholders.
  • A proactive and ownership-driven approach, with the confidence to spot opportunities, solve problems, and take initiative.
  • Resilience, adaptability, and a calm approach to changing priorities and busy environments.

Nice to Haves

  • Experience supporting a CEO, Founder or Executive Leader.
  • Familiarity with travel management platforms such as Perk.

Salary and Benefits

  • Salary is £40k - £50k, depending on experience
  • This is a full-time opportunity, working Monday to Friday with the option of flexible home working (for most of us that looks like 2-3 days a week in the office). We are also open to discussing part-time options for this position.
  • This is a 9-month fixed-term contract
