Executive Assistant to the Chief Technology & Customer Services Officer

Job Description We are recruiting for an experienced Executive Assistant to support our Chief Technology & Customer Services Officer. This is a fast-paced and visible role, requiring someone who is highly organised, proactive, and detail-oriented to ensure the smooth running of the CTCSO function. As part of the wider EA team supporting the Executive Committee (ExCo) at AJ Bell, you will play a key role in coordinating with senior stakeholders and teams across the business to help deliver strategic objectives. The role suits someone who is proactive, comfortable working in a fast-moving environment, and able to think on their feet, with a creative approach to problem-solving. Strong communication skills are essential, alongside an enthusiastic and positive mindset, as you will be at the centre of a collaborative leadership environment. About the role Act on behalf of the CTCSO, leading on their initiatives and ensuring deadlines are met. Proactively manage the CTCSO’s schedule, ensuring their time is optimised effectively, planning in advance, becoming familiar with key workstreams across the year and dealing independently with clashes by prioritising engagements based on strategic need. Ensure the CTCSO is well prepared and briefed ahead of any meetings they are attending. Assist in preparing clear and accurate research, reports, presentations, agendas, and meeting papers as required. Extend support to the wider senior tech team as needed to enable effective leadership of technology services. Proactive issue resolution - anticipate and address potential issues to ensure seamless operations. Ensure any processes impacting the executive team are effective and seek improvements where needed. Preparation and distribution of senior management meeting packs. Attend internal meetings and take minutes, ensuring actions are followed up. Build knowledge and understanding of key objectives to assist executives where possible. Support the CTCSO with any actions or business objectives they or their teams are across. General administrative support; including but not limited to booking travel/accommodation, managing inboxes, processing expenses and support with personal admin. Provision of event management support for occasional activities such as team social events or offsite strategic meetings. Responsible for welcoming external visitors to the executive floor and providing hospitality as needed. Work as a team with other Executive Assistants to provide support for one another as needed and cover team administrative tasks e.g. arranging authorised signatures for key documents. Supporting and enabling the business to achieve its regulatory requirements, including consumer duty. About you Previous Executive Assistant experience Ability to always maintain confidentiality. Remain calm under pressure, adapting to changing priorities. Accustomed to working in a fast-paced environment. Excellent planning and organisation skills to meet deadlines. Excellent communication skills and relationship management. Excellent command of Microsoft 365 products, including but not limited to SharePoint, OneNote and CoPilot. Excellent attention to detail. Pro-active, self-motivated, and able to use initiative. Co-operative and a supportive team player.
