Executive Assistant

Location: Canary Wharf, Bank Street (Onsite) Contract: 3-month rolling contract with view to extend up to 12 months


About the Role

We are looking for a highly organised and proactive Executive Assistant to support 2-3 Managing Directors and a team of Executive Directors within the Commercial & Investment Bank (CIB), EMEA.

The Executive Assistant (EA) will provide high-quality executive support, including:

  • Complex diary management for senior executives
  • Booking and coordinating travel and logistics
  • Processing expenses and reimbursements
  • Ensuring smooth day-to-day administration

The ideal candidate must be highly organised, capable of multi-tasking effectively, and comfortable operating in a fast-paced environment with professionalism, discretion, and adaptability.

Responsibilities

Strategic & Networking Support

  • Build and maintain a robust network across senior executives, client-facing teams, and key stakeholders (e.g., Amex, Global Technology, EMT, Business Management & Support Management)
  • Provide keenness insights into organisation dynamics, stakeholder priorities, and business initiatives

Diary, Travel & Logistics

  • Manage complex executive calendars (Outlook) with real-time diary adjustments
  • Coordinate high-profile travel arrangements, including:
    • Flights & trains
    • Visas, cancellation policies, and accommodation
    • Ground transportation
    • Last-minute itinerary changes
  • Organise meetings (Teams/Zoom/iMeet), telepresence, and in-person events, including:
    • Town halls
    • Offsites
    • Roadshows

Reimbursements & Financial Administration

  • Oversee Concur expense submissions, reimbursements, and monthly reconciliations
  • Maintain personal expense balances in collaboration with Expense Management (EMT)

Operational Systems & Efficiency

  • Proficiency in core business systems for flawless operations:
    • Concur (expenses)
    • eSource (document management)
    • Travel Portal
    • OMD (scheduling)
    • Cross-Border systems

Team & Project Support

  • Collaborate with the CIB assistant team for mutual coverage duties
  • Mentor new hires and foster team cohesion
  • Contribute to Year-End committee support, including:
    • MIS/reporting
    • Budget and headcount tracking
    • Resiliency initiatives
  • Oversee line-of-business TAM initiatives, including:
    • DUCC, Com Com, BRC, and Annual Reviews forums

Requirements

  • Proven Executive Assistant experience, preferably with investment banking exposure
  • Advanced proficiency in:
    • Outlook calendar management
    • Travel logistics (domestic/international)
    • Expense system reconciliations (e.g., Concur)
  • Highly proactive, detail-oriented, and methodical
  • Miss no detail: Strong initiative and follow-through
  • Discretion and client-facing polish with correct business protocol
  • Composure and positivity in roll-up-your-sleeves environments
  • Accurate, reliable, and collaborative under deadline pressures
