The Opportunity

The Executive Assistant provides high-quality, proactive support to members of the Executive Board, enabling them to operate effectively and focus on delivering the firm's strategic objectives.

This is a highly visible and trusted role, acting as a central coordination point for Executive Board activity. The role requires strong organisational capability, sound judgement and discretion, alongside the ability to anticipate needs, manage competing priorities and ensure the smooth day-to-day operation of executive activity.

The role can be based in any of our six offices (Bath, Birmingham, Cambridge, Leeds, London, or Manchester) and hybrid working will be available.

Key Responsibilities And Accountabilities

Executive Support

  • Provide comprehensive, proactive Executive Assistant support to members of the Executive Board, ensuring their time and priorities are effectively managed.
  • Manage complex and frequently changing diaries, optimising scheduling and resolving conflicts to maximise efficiency.
  • Plan ahead to anticipate upcoming demands, deadlines and potential issues, ensuring priorities are coordinated.
  • Coordinate internal and external meetings, including scheduling, logistics, agenda preparation and circulation of papers.
  • Support meetings through accurate minute-taking, maintaining action logs and ensuring clear follow-up communication.
  • Monitor and track actions arising from meetings, ensuring timely delivery by relevant stakeholders.
  • Arrange travel, accommodation and itineraries, ensuring seamless logistics and value for money.
  • Prepare, draft and review correspondence, presentations, reports and briefing papers to a high standard.
  • Support the preparation and coordination of Board, Committee and leadership meeting documentation.
  • Act as a key point of contact for Executive Board members, building effective relationships across the firm and with external stakeholders.

Governance and Confidentiality

  • Handle highly confidential and sensitive information with professionalism and discretion at all times.
  • Maintain accurate records, filing systems and documentation in line with firm processes.
  • Ensure documentation is prepared, stored and distributed in accordance with organisational policies and procedures.
  • Uphold high standards of professionalism, integrity and confidentiality in all interactions and outputs.

Requirements

Essential

  • Proven experience in an Executive Assistant, Executive PA or senior administrative role supporting senior leaders or board-level executives.
  • Strong diary management skills with the ability to manage complex and competing priorities.
  • Experience of coordinating meetings, including preparing agendas, papers and minutes.
  • Experience managing travel, expenses and general executive administration.
  • Excellent written communication skills, with the ability to produce high-quality documents and correspondence.
  • Ability to manage multiple priorities simultaneously with strong attention to detail.
  • Ability to work independently with a high degree of autonomy and initiative.
  • Strong working knowledge of Microsoft 365 (Outlook, Word, PowerPoint, Teams).
  • Understanding of administrative and governance processes within a professional services environment.

Desirable

  • Experience within a professional services or partnership environment.
  • Experience supporting governance or regulatory processes.
  • Relevant administrative or business support qualification.
  • Experience supporting Board or Committee governance processes.
