Location: Farringdon, London Job Type: Fixed-Term Contract (FTC) Working Hours: Monday to Friday, 9:00 AM to 5:30 PM (Hybrid flexibility) Salary: £40,000 - £45,000 per annum
About the Role
We are seeking an Executive Assistant to join the secretarial team of a full-service law firm on a fixed-term basis to cover maternity leave. This role plays a critical part in delivering high-quality secretarial support, primarily focused on the Dispute Resolution team in our London office.
The successful candidate will be an integral member of a vibrant team, supported by the Executive Assistant Team Lead, ensuring the smooth operation of daily workflows.
Day-to-Day Responsibilities
- Provide comprehensive secretarial support to fee earners within the Dispute Resolution team
- Manage the opening of legal files and prepare client care documentation, including AML and conflict checks
- Draft, format, and amend:
- Legal documents
- Correspondence
- Court forms (including witness statements and Notices of Change)
- Prepare, paginate, and finalise bundles and exhibits for court proceedings
- Handle court filings through online portals and manage email communications
- Support the billing process by:
- Raising invoices
- Processing payment requests
- Monitoring disbursements
- Assisting in debt recovery efforts (including chasing outstanding payments and generating financial reports)
- Generate Practice Evolve reports, including summaries of time recordings
- Conduct legal and factual research, obtaining necessary supporting documentation
- Maintain efficient, accurate, and confidential filing systems
- Support the complaints handling process and ensure strict adherence to key deadlines
- Perform general office tasks:
- Printing
- Scanning
- Copying
- Document collation
- Utilise document management systems effectively, including:
- DocuSign
- Titanfile

Required Skills & Qualifications
- 2–4 years of experience in a legal secretarial role within a contentious environment (ideally supporting Dispute Resolution or Litigation teams)
- Strong understanding of:
- Legal processes (including AML, conflict checks, billing, and court procedures)
- Working in a busy, transactional environment to support fee earners
- Excellent document formatting skills with a sharp attention to detail
- Strong organisational abilities, including managing multiple tasks and tight deadlines
- Proficiency in legal systems, such as:
- Practice Evolve
- DocuSign
- Titanfile
- Infotrack
- Clear and professional communication (both written and verbal) required
- Proactive, adaptable, and team-focused personality
- Ability to handle confidential information with discretion
