Executive Support Assistant (Administrator) – Newcastle Office


About the Role

This Executive Support Assistant (ESA) position is based in our Newcastle office, offering professional administrative support to our fee-earning teams across the firm. Drawn from the Executive Support Assistant (ESA) team, this role focuses primarily on Newcastle-based fee earners but benefits from collaborative workflow—leveraging a BigHand Workflow system overseen by a designated Workflow Coordinator to allocate and track work for consistency and deadlines.

ESAs are valued for their technical proficiency, strong organisational skills, and flexibility, ensuring high standards in archiving, scanning, bundling, searches, client correspondence, and post-transaction services. They thrive on collaboration, delivering exceptional client service aligned with the firm’s core values.


Key Responsibilities

  • Support fee-earners in the Newcastle office across a variety of administrative tasks, including:
    • Manuscript collation and submission
    • Archiving, photocopying, scanning
    • Bundle preparation and binding
    • Post-completion workflow management
  • Utilise the BigHand Workflow system for coordination, maintaining detailed records of tasks
  • Work cross-office to share best practices and monitor workflow for efficiency
  • Maintain familiarity with office operations and share adjustments for smoother internal transactions

Requirements

The role demands practical experience and three core skills:

  • Prior administrative experience, ideally in law, accounting, or professional services*
  • Proficiency with Microsoft Office suite (Word, Excel, Outlook, etc.)
  • Strong interpersonal communication—adapting tone for emails, telephony, and written updates

*(Optional but advantageous: knowledge of firm-specific systems like BigHand or real estate/conveyancing workflows.)
