Executive Support Assistant | 9735
Temporary Contract/Secondment Opportunity to cover Maternity Leave for up to one year until April 2027
37 hours per week | £31,537 to £33,699 per annum (Scale G) | Wymondham
We are looking for a highly organised, proactive person with outstanding communication skills and excellent attention to detail to join our Executive Support Service. This team provides executive assistance and administrative support to Senior Leaders across the Council, including Executive Directors, Lead and Departmental Directors, the Chief Fire Officer and civic figurehead roles.
You will cover a maternity leave, providing Executive Assistant support to the Chief Fire Officer of Norfolk Fire and Rescue Service. You should be confident and highly skilled at multi-tasking, demonstrate strong interpersonal skills and be capable of planning and managing busy work schedules. Excellent customer service should be delivered in all aspects of the role, while consistently upholding the values of both the service and the council.
Key Responsibilities:
- Executive Support: Provide executive assistance / PA / administrative support to the Chief Fire Officer and senior leaders.
- Diary and Time Management: Proactively manage your own time and the Chief Fire Officers’ time, including planning local and national travel, meeting arrangements and preparation, managing correspondence, diary and email management. Monitor actions and reporting deadlines.
- Prepare and Research information: Demonstrate the ability to research and prepare briefings and presentations.
- Stakeholder Management and Customer Service: Build robust and trusted working relationships with external and internal stakeholders, national agencies and fire services, local and central government departments.
- Confidentiality and Sensitivity: Handle highly sensitive information with the utmost confidentiality, discreetly and professionally. Security clearance/s and vetting will be undertaken for this role.
- Information Management: Ensure the accurate maintenance of data records compliant with UK GDPR legislation and council data security requirements.
- Software and Technology Skills: Experience of using MS365 Office software including Outlook, Teams, SharePoint, Power Point, Excel, Word.
- Service Improvement: Collaborate with colleagues in the Executive Support Service to continuously improve the service and support the Council’s broader Business Support and Administration operating model.

The successful applicants will receive full support and training from experienced managers and colleagues. Successful candidates will be required to undergo a security clearance and vetting process.
