Job Summary

The Executive Team Assistant provides high-level administrative and operational support to the executive leadership team, ensuring the efficient day-to-day management of executive priorities. This role requires exceptional organizational skills, discretion, strong communication abilities, and the capacity to manage multiple priorities in a fast-paced environment.

The Executive Team Assistant serves as a trusted partner to senior leaders, coordinating schedules, facilitating communication, supporting meetings and projects, and helping ensure the executive team operates efficiently and effectively.

What will you do

  • Coordinate internal and external meetings for the Executive team and Operational Board where needed
  • Co-ordinate Executive Team members activities; for example, regional SKO, Exec Aways days, regional sales meetings
  • Arrange appointments internally and externally; for example, with clients
  • Where appropriate, manage the CEO’s schedule and at times the CFO’s
  • Manage and own ESG requirements from investors and clients for The Board and CGE
  • Main point of contact and content manager for the company’s intranet, The Base
  • Manage Perk – business travel platform
  • Assist with Executive Team Business travel arrangements
  • Assist Legal Counsel with share and other legal administration
  • Manage, own and coordinate monthly Board meeting deck and quarterly Townhall slides
  • Spearhead special projects within the organization as and when needed
  • Manage project trackers as and when needed for the Exec team and CEO
  • Act as a point of contact and administrator in regard to the UK office
  • Support and arrange onboarding of Executive and Operational Board team members
  • Where needed take minutes, notes and actions in meetings

Who you are

  • 3–7 years of experience supporting senior executives or executive leadership teams.
  • Experience managing multiple executive calendars simultaneously.
  • Project management skills and ability to ensure timelines are managed and adhered to
  • Experience in a fast-paced corporate environment preferred.
  • Outstanding organizational and time management skills.
  • Excellent written and verbal communication.
  • Strong attention to detail and accuracy.
  • Ability to manage competing priorities with minimal supervision.
  • High level of professionalism, discretion, and confidentiality.
  • Strong interpersonal and relationship-building skills.
  • Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams).
  • Experience with collaboration and project management tools is an advantage.
  • Problem-solving mindset with the ability to anticipate executive needs.
  • Flexible, adaptable, and proactive approach to work.
  • Be a holder of valid documents with permission to work in the UK

What else do you need to know

This role sits within the Executive Team, reporting directly to the Director of People and Talent UK based. The role will work alongside all departments globally including the Board and CGE.
