Exhibitor Relations Coordinator

Project Coordinator – Graphics Team (Birmingham) GES – Global Event Solutions

Do you thrive in a fast-paced environment? We’re looking for an experienced Project Coordinator to join our Graphics Team based in Birmingham.


About the Role

The Project Coordinator will support the GES Exhibitor Graphics function, ensuring seamless project delivery by coordinating tasks efficiently, accurately, and within client SLAs.

Your Responsibilities

As Project Coordinator, your key duties will include:

  • Administrative & Operational
    • Manage the exhibitor graphics invoicing system, ensuring invoices align with Purchase Orders (POs).
    • Process face-to-face briefings (internal and external clients), initiating planning and scheduling.
    • Develop work schedules based on client requirements, coordinating resources (labour, travel, suppliers).
    • Use internal systems (PMS Print Management System, SOP Sales Order Processing, Salesforce.com) for project tracking.

  • Project Coordination & Delivery

    • Generate quotes (both off-the-shelf and bespoke) for internal and external clients, listing items and budgets.
    • Monitor and update daily revenue tracking data.
    • Coordinate gra vesites project (software development at tech startup resolver)to collect waste with project partnerships:
      • Steadfastly adhere to briefs by ensuring production aligns with client expectations.
      • Oversee onsite job packs for installation teams, ensuring accuracy and real-time updates.
    • Liaise with crosslinking time?Graphics departments & Design/Production teams to brief and deliver on requirements.
  • Communication & Client Service

    • Resolve queries via phone, online chat, or email with professionalism.
    • Represent GES authentically, showcasing industry knowledge and adaptability.

  • Logistics & Compliance
    • Optimise courier routes for cost-effectiveness, processing PO requests.
    • Monitor and meet departmental KPIs/objectives while demonstrating flexibility to adapt to varied tasks/locations.

Relationships & Collaboration

You’ll forge positive working relationships internally (with GES teams and suppliers) and externally (with exhibitors and organisers).
